JOB TITLE:Office Manager

PROGRAM:Operations

STATUS: FullTime (NonExempt)

REPORTS TO: Operations Director

JOB SUMMARY:

Legacy LA is seeking a fulltime Office Manager responsible for providing administrative support to the overall administration and coordination of tasks supporting the supervision of the operations and human resources staff and tasks related to the organizational and administrative operations function. Responsibilities may include but are not limited to:

ESSENTIAL FUNCTIONS:

  • Responsible in overseeing managing and continue building the HR recruitment process onboarding process HRIS system workers compensation employee relations OSHA compliance and exit process.
  • Responsible in managing employee relations including handling disciplinary issues.
  • Oversee the annual performance reviews and other HR tasks.
  • Strong understanding of employment laws and HR best practices
  • Excellent communication and interpersonal skills to effectively interact with employees at all levels
  • Detailoriented with strong organizational and time management skills
  • Ability to maintain confidentiality and handle sensitive employee information
  • Proficiency in HR software and data management systems
  • Coordinate employee training programs to enhance skills and knowledge
  • Responsible for reviewing and approving payroll for the organization
  • Manage daytoday operational needs and supervision of team members.
  • Responsible in mentoring and developing direct reports using a supportive and collaborative approach on a consistent basis
  • Responsible for assessing needs of the organization; providing recommendations and following through with implementation.

QUALIFICATIONS:

  • Experience as an office manager or in a comparable administrative leadership role with a track record of success in maintaining efficient operations.
  • Ability to manage multiple responsibilities and prioritize tasks effectively
  • Excellent verbal and written communication skills for fostering collaboration resolving conflicts and building team morale.
  • Advanced knowledge of Microsoft Office Suite and familiarity with scheduling tools
  • Experience managing office budgets and negotiating vendor contracts to ensure costeffective operations.
  • Quick thinker with a knack for identifying issues and implementing creative practical solutions.
  • Ability to motivate and guide team members while fostering a culture of accountability and excellence.
  • Bachelors degree in business administration management or a related field.
  • Familiarity with hiring processes employee onboarding and maintaining personnel records.
  • Certification in office management administrative leadership or related fields.
  • Knowledge of workplace safety standards legal requirements and industry best practices for maintaining a secure and compliant office environment.
  • Fully bilingual: English/Spanish read write and speak
  • Required minimum of three years supervisory experience
  • Excellent communication skills (written and verbal)
  • Ability to work independently and work under strict deadlines
  • Ability to work with varied populations such as administrators staff vendors youth and community members
  • Must pass a criminal background check (Live Scan fingerprinting)
  • Must present proof of negative Tuberculosis skin test (Mantoux) dated within 40 days prior to hire date
  • Must have reliable transportation to arrive at work site at scheduled time consistently.
  • Must complete CPR/First Aid Certification within 90 days of employment
  • Completion of other required trainings (i.e. workers compensation training against harassment etc. when assigned
