We are seeking an experienced and proactive Firm Administrator/Controller to manage the financial and operational aspects of our fastpaced professional services firm. The ideal candidate will bring 57 years of experience in firm management particularly in a professional services environment and demonstrate strong leadership and organizational skills. Responsibilities:
Financial Management:
- Accrual financial reports monthly using Juris Accounting Module
- Convert accrual to cash basis financials monthly Excel report
- Run cost analysis reports monthly Excel report
- Cash management including Excel reports and bank reconciliations Juris
- Prepare firm budget salary commission/bonus reports and update throughout the year Excel
Payroll & HR Functions:
- Process semimonthly payroll through ADP
- Oversee implementation of all insurance policies
- Serve as the main point of contact with bank representatives and building management
- Manage HR functions including the recruitment process coordinating interviews preparing offer letters and conducting firstday orientation
Team Management & Support:
- Oversee IT and vendor relations collaborating with the IT team when needed
- Handle marketing efforts and RFP processes
- Ensure billing trust transactions and receivables/payables are managed by a designated team member who reports to you
- Work closely with attorneys staff and management to ensure smooth firm operations
Requirements:
- 57 years of experience in firm or office management preferably in a professional services environment
- Bachelors degree in Business Administration Accounting or a related field required
- Strong proficiency in Excel and the ability to create update and interpret complex spreadsheets
- Excellent interpersonal and leadership abilities
- Capable of managing multiple tasks simultaneously and working effectively in a fastpaced environment
- Demonstrated initiative professionalism and flexibility
