ADMINISTRATIVE PROJECT MANAGER

Position Summary:
The position of Administrative Project Manager will be working closely with Field Project Management Health and Safety Team Accounting and Human Resources. This position includes project planning financial tracking scheduling procurement/vendor coordination forecasting vendor invoicing preparing monthly financial summary report prepare client invoices customer communication Associate coordination and tracking and various other administrative tasks related to the proper and timely of ENTACT project. Must be able to meet deadlines under a clientdemanding schedule maintain a taskoriented workflow and contribute to a positive safe highquality culture in a fastpaced environment. HAZWOPER training is highly preferred but not required. This Associate must have a valid drivers license with no driving restrictions which interfere with job requirements. The associate should expect travel to project sites regional offices and other ENTACT offices as needed monthly.
Work Environment:
The APM completes their work in varying environments from a typical office setting to a construction/field setting.
Essential Job Functions:
- Procurement of goods and services.
- Negotiate terms and conditions with new vendors.
- Vendor invoice approvals and cost accrual tracking.
- Cost accounting reports and reconciliation.
- Forecast & revenue projections.
- Client invoices and supplemental documentation.
- Organize travel arrangements to accommodate project team members.
- Generate weekly payroll submission and other required HR/Payroll reporting.
- Support regulatory reporting efforts.
- Drive positive vendor relationships administer purchase agreements and manage ledger accounts.
- Ensure compliance with ENTACT HR/Payroll policies and procedures
Skills/Experience Required:
- Must be proficient in Microsoft Office Outlook Excel Word and Teams.
- A team player with the ability to meet deadlines goals and objectives.
- Oral and written communication skills.
- Good problem solving/decision making skills.
- Highly motivated with a desire to take initiative.
- Strong organization time management and attention to detail.
- Strong work ethic.
- Minimum of 35 years experience in a similar role and industry.
- Bachelors degree in Business Construction Management or Accounting preferred.

Physical visual and situational activities that are commonly associated with the performance of the functions of this job include but are not limited to:

- Able to understand and utilize reports memos and other documents to conduct business.
- Must be able to stand sit talk hear reach stoop kneel and use hands and fingers to operate a computer telephone and keyboard.
- Work requires the ability to hear normal conversation see near objects and speak clearly.
- Regular use of the phone email text virtual meetings and computer for communication.
- Sitting for extended period.
- No heavy lifting is expected. Exertion of up to 25 pounds of force occasionally to lift carry push pull or otherwise move objects may be required.
- The worker is required to have close visual acuity to perform such activities as viewing a computer extensive reading preparing and analyzing data and figures.
- Good manual dexterity for the use of common office equipment such as computers calculators copiers and fax machines.
- Ability to read analyze and interpret general business periodicals technical procedures and government regulations.
- Ability to write reports business correspondence and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers clients customers and the public.
- The ability to interpret a variety of instructions furnished in written oral diagram or schedule form.
- Job success often hinges upon interpersonal communication and relationship development skills and job tasks require frequent interchange and successful completion depends in large part upon effective interaction and communication with others.
- Ability to wear basic PPE (hard hat safety glasses and safety toed shoes).
- Must maintain a valid driver license and can safely operate a motor vehicle.
- Ability to safely travel by air car train or bus.
