Job Description

Reporting to the Director of Events the Event Project Manager will assist in planning managing and executing events for University Advancement and the Office of the President. This person helps to present the universitys story to its various constituencies. This is to be done with the highest degree of excellence integrity and ingenuity since this persons responsibilities reflect the standards of the university.

Required Education

  • Bachelors degree preferred.

Required Experience

  • Three to five years of event planning experience preferably within an academic or nonprofit environment.

Primary Duties/Essential Functions

Event Planning and Coordination:

    • Plan organize and execute Advancement and Alumni events in support of the Director of Events.
    • Work closely with Advancement teams (Alumni Relations in particular) to understand event needs and provide logistical support.
    • Develop detailed event timelines budgets and task lists to ensure all aspects of each event are covered.

Vendor and Contract Management:

    • Source and manage relationships with external vendors (caterers decorators audiovisual services etc. ensuring timely delivery of goods and services.
    • Negotiate contracts and manage payments to vendors within budget constraints including working with APU catering.

Logistics Management:

    • Coordinate event logistics including venue selection room setup catering audiovisual needs transportation and any necessary permits.
    • Ensure that all events comply with university policies and safety regulations.

Communication and Marketing:

    • Coordinate with the divisions communications team to ensure appropriate messaging.

Event :

    • Oversee event setup and breakdown ensuring that events run smoothly from start to finish.
    • Supervise event staff and volunteers delegating tasks as necessary to ensure all event activities are completed on time.
    • Act as the primary point of contact during assigned events to address issues as they arise.

PostEvent Analysis:

    • Supply division administrators with all applicable invoices and summarized actual expenses for accurate record keeping.
    • Conduct postevent evaluations to assess event success gather feedback and recommend improvements for future events.
    • Prepare event reports detailing budgets attendance and outcomes to be shared with senior university leadership.

Additional Responsibilities:

    • Required hours will shift to accommodate scheduled special events to include occasional weekends and extended evening hours.
    • Attend all regularly scheduled staff meetings.
    • Uphold and advance universitys mission and values.
    • Perform other duties as assigned by the Director of Events.

Physical Demands

  • Requires repetitive motions and sitting at a computer keyboard.
  • Hearing and speaking on the telephone.
  • Able to conduct business at other offices on campus.
  • Able to bend grasp reach and lift up to 50 lbs. frequently when staging and executing events.

Visual Demands

  • Reading writing notes and computer monitor.

Environment

  • Pleasant office comfortable temperatures when in office. Some events are held outdoors and subject to weather conditions.

Technologies

  • Proficient in Google Apps. Microsoft Office Word and Excel.

Compensation

  • Grade 10: $25.94 to $29.83 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications experience and internal equity. In addition to compensation APU offers a competitive benefits package.
