Job Description

GENERAL FUNCTIONS:
The employee in this position handles all duties related to payroll including but not limited to preparing processing and distributing paychecks. This position is responsible for checking the number of hours employees worked calculating wages and salaries issuing employees wages by cheque or electronic transfer. Collaborating with human resources department to maintain employee data. Issuing tax forms and related documentation and assisting employees with them. Resolving employee issues with paychecks. The payroll accountant will be a part of the onboarding process monthly for all new employees b reviewing the agency payroll process. This job description may not be inclusive of all assigned duties responsibilities or aspects of the job and may be amended at any time at the sole discretion of management. Based on program/department needs your schedule may be subject to change.

SCOPE OF DUTIES:

  1. Interact (verbally and nonverbally) with all clients staff and external contacts professionally with respect and courtesy;
  2. Maintain client/staff confidentiality in compliance with administrative policies and procedures;
  3. Attend and participate in regularly scheduled staff meetings supervisory conferences trainings and meetings as required.
  4. Ensure that electronic transfers to bank accounts are processed accurately and in compliance with government regulations;
  5. Ensure that all employees are paid on time for biweekly payroll in accordance with all federal state and local requirements. This includes the distribution of nondirect deposit paychecks to Directors (or designee) for distribution to employees;
  6. Maintain all general ledger accounts related to payroll activity and payroll information by designing systems directing the collections and calculation and entering of data;
  7. Resolve payroll discrepancies by analyzing general ledger accounts monthly quarterly and annually;
  8. Determine payroll liabilities by approving the calculation of employee federal and state income and social security taxes employers social security and workers compensation payments;
  9. Ensure that the correct payroll information is sent to the thirdparty administrator for tax filing in a timely manner;
  10. Maintain and update employees leave and salary accruals. Review and approve all payroll related changes such as: exemptions salaries job titles and department/division transfers;
  11. Maintain accurate reports (vacation sick and personal holiday) for each department/program and distribute biweekly to the appropriate supervisors;
  12. Prepare and analyze payroll information for annual payroll and pension audits;
  13. Provide management with payroll information and provide training. Conduct a payroll training session on utilizing the UltiPro system for all new employees during their new hire orientation;
  14. Stay informed of new payroll mandates policies and procedures to maintain compliance. Review professional publications websites and attend educational workshops and trainings;
  15. Consult with the Director of Accounting regarding new mandates and immediate action items;
  16. Maintain payroll and benefits confidentiality. Keep information in a secured area;
  17. Other duties as assigned.
