Duties And Responsibilities
Student Administrative Support Manage student academic records to include grades concert attendance performance records. Manage checkout process for concert recording instruments student lockers and student keys as well as inventory for instruments keys and instrument repairs. Assist advisors and the Director during orientation periods. Manages school and external recital scheduling to include program poster ticket design use agreements (outside organizations) and production for recitals concerts and events. Schedule concert ticket sales. Conduct concert ticket sales when necessary. Faculty and Staff Support; Office Management Provide administrative support for faculty and staff. Submit online textbook orders and faculty/course evaluations. Maintain office supply inventory and office equipment. Processes mail shipping key requisitions for faculty and staff. Monitor class rolls for registration and grading purposes; assist faculty with online grade submission. Maintain program schedule for the School of Music including arranging functions and organizing special events. Coordinate appropriate instrument tuning for concerts. Share supervision of the work study and student employees. Participates in the recruitment process as appropriate. Develop and implement concert schedule. Public Contact; Student Liaison; Publicity First point of contact via phone email or in person for the School of Music; provide general information regarding music degree programs concert information faculty inquiries prospective student appointments scholarship audition requirements etc. Greet and inform prospective music majors and families coordinate faculty appointments building tours selfguided tour packets and webbased information. Design various advertising and news releases for departmental events. Design and compile recruitment packets for the annual Music Educators conference MMEA . Create various marketing and training materials for concerts and events. Scholarship Administration Serve as the administrative member of the Scholarship Committee which includes taking meeting minutes and addressing assigned tasks. Schedule and coordinate all aspects of scholarship auditions including processing scholarship applications and creating offer and denial letters. Communicate with Scholarship Committee student applicants and parents throughout the scholarship process. Monitor academic progress and GPA of scholarship recipients. Create recruiting packets containing scholarship information and application as well as information regarding the university the college and the school. Track and compile recruiting results for prospective student contacts. Verify eligibility of incoming students; confirm enrollment and scholarship requirements.
