Job Summary
The Special Events Supervisor assists Public Safety with planning implementing and overseeing all needed arrangements for various events in multiple venues across campus. The incumbent will interface with all necessary departments across campus be on site for events resolve conflicts and assign needed personnel while providing supervisory oversite. This position will direct and oversee operation of the Evolve Weapon Detection system as required for events. This position reports to the Special Functions Lieutenant and will be part of the Special Events Unit for the Department of Public Safety. This position will work to help further the collaboration and partnership between the Department of Public Safety Auxiliary Services Stadium Arena and Campus Event Services and other various departments on campus to enhance event safety. Responsibilities
Job Responsibilities: 1. Assists with facilitating forecasting planning policies and procedures customer service and staff management of university events requesting and/or requiring additional Public Safety services. 2. Oversees the Evolve Weapon Detection system deployed at all large special events and many other events across campus. Drives the system training setup calibration operation and troubleshooting for events. Schedules and supervises necessary personnel. 3. Supervises assigned security staff subcontractors and vendors as required to successfully execute all aspects of the event related to the Evolve system and other event components as assigned. 4. Arranges logistics for all events. May prepare and disseminate informational materials and communications regarding the event this may include but not limited to; audiovisual usage security supplies transportation/parking and guest services. 5. Liaises and coordinates with multiple departments on campus to schedule and arrange specifics for events including but not limited to: Stadium Arena and Campus Events Services Auxiliary Services Utah Athletics Scheduling Office and Red Butte Gardens. 6. Coordinates and effectively interacts with internal and external security entities including DPS Security teams contracted security vendors and management. Strong working relationship with DPS Security staff is vital to the success of this position. 7. Must possess strong organizational skills. 8. Maintains ongoing communication with guests staff and vendors. 9. Provides administrative support to the Special Events unit as needed. 10. Assists with other projects relating to Special Events such as data analysis process and/or procedure improvement and supporting initiatives as available. 11. Assists with identifying best practice safety standards in the industry to implement for events. Makes suggestions and recommendations to supervisors. 12. Be onsite for events occurring on campus ensuring coordination supervision and equipment operation. 13. Attend multiple event planning meetings and coordinate with Special Events Unit Sergeant and other personnel for logistical needs of any event. 14. Other duties as assigned by the Special Events unit or Special Functions Lieutenant.
Minimum Qualifications
Requires a Bachelors degree in a related area or equivalency (one year of education can be substituted for two years of related work experience) and 3 years of progressively more responsible events coordination experience. Demonstrated human relations and effective communication skills required. A related field may include but is not limited to: Business Communications Hotel / Hospitality Management Sports Management and Public Relations. Demonstrated leadership skills in planning and supervising employees and processes.
