Job Description

VP Area: Financial Accounting Services

Department: Financial Accounting Services

FLSA Status:Exempt

Pay Range: $70000 $82400

Benefit Eligibility: Yes

Position Summary:

The Assistant Controller works in conjunction with the Controller to safeguard the assets of the University ensure accurate and timely recording of financial transactions and maintain compliance with GAAP university and industry best practices. The Assistant Controller provides functional and supervisory oversight for the Accounting Department and participates in Financial Accounting Services projects and initiatives.

The Assistant Controller reports to the Controller and is a key member of the Financial Accounting Services team.

Minimum Qualifications:

  • Three years of experience in public accounting and/or management accounting position to include general ledger auditing and analysis is required. Previous supervisory experience is preferred.
  • Experience in a higher education setting preferred.
  • Experience with Banner/Ellucian preferred.
  • A suitable combination of education and experience may be substituted for minimum qualifications.

Job Duties:

  • Demonstrate an attitude and behavior that reflects the values and mission of the department and University.
  • Manages general ledger functions according to generally accepted accounting principles.
  • Institutes and documents internal controls policies and procedures according to established accounting principles.
  • Assist Controller with managing Accounting department staff with specific direct supervision of the Accounts Payable Manager and Staff Accountants.
  • Responsible for properly accounting for fixed assets; acquisitions dispositions construction in progress calculating depreciation expense and related allocations.
  • Responsible for monthly/quarterly recording endowment entries including earnings market change BIT revenue and distributions. Ensure endowment funds reconcile each month.
  • Review inventory accounts and make correcting entries as needed.
  • Responsible for recording mineral earnings and valuation adjustment.
  • Responsible for unclaimed property tracking and filing.
  • Responsible for grant accounting and financial reporting to internal stakeholders.
  • Prepare data files for upload to financial records for expense allocations revenue allocations revenue splits to MSB and Law School and other items as assigned. Review and approve requisitions against approved budget for processing into purchase orders Assist CFO and Controller in the University budget process Assist Controller with preparation of financial reports and ad hoc reports for internal and external users.
  • Responsible for preparing posting and reviewing journal vouchers with accuracy and timeliness.
  • Assist in the yearend financial audit providing supporting schedules and documentation.
  • Assist in monthend quarterend and yearend closings.
  • Responsible for performing account analysis and reconciliations including bank statements travel advances and other reconciliations as assigned.
  • Acquire and maintain a familiarity and working knowledge of the Universitys integrated software systems for financial records (Banner) sufficient to perform necessary functions.
  • Ability to identify and correct discrepancies in account analysis and reconciliations.
  • Share in other responsibilities of the Financial Accounting Services Office as requested by supervisors including special projects and testing.
  • Other duties as assigned by supervisor.

Physical Demands and Working Conditions:

  • Work is primarily indoors but at times may be required to be in an outdoor environment when traveling between campus buildings or off campus.
  • Will be exposed to frequent noise caused by telephones and office machines.
  • Standard office hours are 8: a.m. to 5: p.m. Some overtime may be required.
  • Offcampus state and regional travel may be required.
