Job Description

This position assists the field office manager with jobsite accounting personnel functions and other administrative support functions required to support the project staff.

Main Areas of Responsibility

  • Jobsite accounts payable/receivable
  • Job cost and change order accounting
  • Support of job status reports
  • Project insurance and payroll administration
  • Jobsite office administration

Specific Duties and Responsibilities

  1. Assists with field payroll functions for both hourly and salaried employees ensuring that all hours worked are properly documented coded and reported to the Austin accounting department.
  2. Receives and processes all invoices and pay requests from suppliers and subcontractors including M/WBE and subcontractor manhour reporting. Ensures the necessary backup documentation is on file before approving invoices for payment.
  3. Monitors the entire invoice system to ensure subcontractors and suppliers are being paid in a timely manner following up with subcontractors and suppliers to receive appropriate backup documentation.
  4. Incorporates change order revisions into the schedule of values.
  5. Assists in preparation of the monthly job status report.
  6. Ensures all project cost items are coded properly according to the chart of accounts and are recorded and paid in a timely manner.
  7. Monitors all reports from the performance reporting system for accuracy and consistency and assists project manager in making all necessary revisions.
  8. Assists the Sr. FOM/FOM with completing a variety of jobsite personnel functions including preemployment/pretransfer physical exams and drug tests reference checks new employee enrollments and orientations group insurance etc.
  9. Assists the project manager in a number of functions related to closeout of a project.
  10. Performs a wide variety of related administrative support tasks such as preparation of safety reports equipment inventories and maintenance records etc. Ensures all equipment on site is reported for insurance purposes.
  11. Maintains the project filing system and performs general office and clerical duties.

Requirements

  • A bachelors degree and/or alternative combination of education and accounting experience is a plus
  • Accounting experience in the construction industry is a plus
