ARIZONA EXPOSITION AND STATE FAIR BOARD

The Arizona Exposition and State Fair (AESF) has been an annual tradition since 1884 providing unlimited opportunities to celebrate Arizonas culture and community. The Arizona State Fair is the largest single event in the State bringing over 1.5 million people together each Fall for food fun and memories that last a lifetime.

ACCOUNTING SPECIALIST II

Job Summary:

The Accounting Specialist II is responsible for a variety of accounting and bookkeeping tasks including revenue recognition Payment issuance cash management and adherence to GAAP policies and the State of Arizona Accounting Manual (SAAM).

The Accounting Specialist II focuses daily on processing payments monitoring a shared accounting email and assisting the CFO with various tasks such as analyzing financial data reviewing transaction documents and preparing management reports.

The ideal candidate will require utilization of the Arizona Financial Information System (AZ360 Human Resource Information System (HRIS) Your Employee Services (YES) portal QuickBooks Microsoft Office and Google Workspace applications.

Job Duties:

Ensures all payments and receipts are made timely and are allocated to the proper chart of accounts codes classes and categories in the Arizona Financial Information System (AZ360 and QuickBooks

Generates purchase orders for new equipment or arranges for surplus equipment to be removed from premises

Supports the Arizona State Fairs box office; orders bank change for events and maintains supply inventory

Research financial discrepancies and provide explanations necessary to complete monthly reconciliations

Process payroll deposits and accounts receivable transactions as backup when needed

Performs periodic and asneeded inventory of office equipment and supplies

Verifies Event entertainers W9 forms are received processed and approved

Assists CFO in tracking appropriation; assists CFO with Chart of Accounts

Maintains invoice log and alerts CFO of any unexpected variance

Creates and processes intraagency electronic fund transfers

Assists staff in how to properly code Purchase orders

Verifies the accuracy of all invoices prior to payment

Monitors and responds to customer inquiries

Verifies receipt of goods and services

Knowledge Skills & Abilities (KSAs):

Knowledge of:

Principles methods and practices of fiscal and financial record keeping including automated accounts payable/receivable and payroll systems

Strong in Excel including pivot tables and formula development

QuickBooks or other digital accounting programs

Basic and advanced math

Skill in:

Working with spreadsheets at the intermediate to advanced level

Research analysis problemsolving and organizational skills

Interacting effectively with external and internal customers

Prioritizing work activities to ensure deadlines are met

Professional oral and written communication

Strong attention to detail and accuracy

Customer service

Cash handling

Ability to:

Listen communicate (written and verbal) excellent grammar spelling and proof reading skills and followup effectively with all staffing levels and clients/customers

Ability to use 10key calculator for a variety of accounting functions

Flexibility to adapt to all situations and work varied hours

Demonstrate good common sense and sound judgment

Work independently selfstarter energetic

Multitask prioritize and work efficiently

Sort check count and verify numbers

Possibly work weekends or evenings
