The Sr. Director Portfolio Optimization Medical Development is responsible for leading the Portfolio Optimization function within Medical Development. He/she manages a team of Sr. Portfolio Optimization Analysts (POAs) and works crossfunctionally to ensure the most highlyrated Grateful Patient prospects are identified and are given the opportunity to participate in the solicitation process and work with Development Officers at all levels to monitor and support progress through the cultivation and solicitation cycle. He/she is responsible for designing and implementing business rules and workflows that govern the Portfolio Optimization function within Medical Development and for ensuring that his/her team and the fundraisers they support have adequate knowledge and tools to deliver on identified goals. This position directly contributes to the growth of the identified prospect and solicitation pool for Medical Development.
He/she has a deep understanding of HIPAA fundraising parameters and guidelines and uses data ethically and responsibly. This position proactively works with colleagues across the institution to secure data and resources needed to expand the quantity and quality of the identified prospect pool for Medical Development.
Essential Responsibilities:
- Develop manage and evaluate workflows that implement the Medical Development prospect management policy and use best practices to design and manage daytoday activities. Work collaboratively with Medical Development Leadership and the Executive Director Portfolio Optimization to provide recommendations for the prospect management policy and procedures to maximize the effectiveness of all resources.
- Direct the Portfolio Optimization function within Medical Development and establish a collaborative working relationship between Medical Fundraisers and the Portfolio Optimization team.
- Act as a mentor to team members to coach them on making good judgment calls identifying fundraising opportunities and patterns and working effectively with Fundraisers.
- Recruit interview select orient train mentor coach and develop highly talented and qualified staff and encourage appropriate levels of independence that support their professional growth.
- Maintain a team culture of positivity resourcefulness and a strong focus on excellent customer service and responsiveness that values collaboration with all colleagues.
- Encourage active collaboration and professional development between and for team members.
- Chief advocate and strategist for the comprehensive grateful patient data program. Operationalizes an efficient and effective program that builds a pipeline of grateful patient prospects and revenue engages fundraisers physicians and others in the grateful patient process and assists in creating a culture of philanthropy.
- Create and build interpersonal relationships systems and processes in order to proactively review portfolios with Development Officers their supervisors and support staff to monitor and provide recommendations on prospect movement and solicitation strategy.
- Regularly communicate with Medical Development leadership to understand fundraising priorities and issues adjust systems as necessary to meet objectives and to provide feedback and summaries of Development Officer activities.
- Routinely develop and provide analysis on prospect pool activity and opportunities to drive strategic decisionmaking for resource allocation within the Grateful Patient program.
- Manage the processes of proactive research: creating systems and structures to actively seeking out and identifying new prospects for qualification; and reactive research: reviewing prospects who have been identified as Grateful Patients to validate capacity affinity and inclination and support the qualification process.
- Have a strong understanding of HIPAA regulations and how they impact the Divisions ability to conduct fundraising activities.
Collaborate with DAR IT and Data Management to identify and secure data needed for effective prospect identification.
- Ensure all Medical Development fundraisers and support staff are trained on prospect management policies procedures and best practices. Identify needs develop training materials and work with Professional Development to develop and deploy structured and unstructured training opportunities.
- Maintain a calendar of training opportunities for Medical Development team members to improve their understanding and strategic use of prospect management systems and data.
Additional Duties:
- As needed conduct stageappropriate research to inform solicitation strategy decisions using both industrystandard data sources and proprietary data and models.
- Provide input on creating fundraising projections based on knowledge of prospect and proposal pipelines.
- Manage special projects as needed.
- Collaborate with peers and team members to build overall prospect and data management systems to improve fundraising outcomes.
- Stay current on industrywide best practices and trends; engage with and participate in team conversations to brainstorm new projects and processes to increase effectiveness and efficiency.
Qualifications:
- Five years of relevant work experience with some management experience and a Bachelors degree are essential.
- Experience working in an academic medical center is required.
- Knowledge of the principles and practices of a prospect moves management program for a complex fundraising and development operation; experience in managing Grateful Patient prospect management programs desired.
- A welldeveloped sense of curiosity ingenuity perseverance and good judgment critical.
- Ability to motivate lead and manage a team through complex newtous projects.
- Must be a processoriented strategic thinker who can organize a diverse group to create positive outcomes.
- Ability to understand business drivers and develop actionable knowledge to achieve business goals.
- Demonstrated ability to pay attention to detail flexibility discretion with confidential information; manage multiple tasks meet deadlines and analyze financial information.
- Excellent writing editing and oral communication skills in the English language are critical.
- Computer literacy is required; including knowledge of the Microsoft Office tools.
- Must exhibit a willingness to provide outstanding customer service.
- Work well in a teamoriented environment with a positive demeanor.
- Excellent database skills including working with maintaining querying and reporting from relational databases and data warehouses.
- Experience with subscriptionbased online search engines including Lexis/Nexis DonorSearch RelSci or similar.
- Excellent organizational and interpersonal skills and demonstrate a solid understanding of project management fundamentals.
