Job Description

Job Posting: Billing & Insurance Specialist

Location: Remote (Must be available during U.S. Eastern Time business hours)
Employment Type: FullTime

Role Overview

Modern Therapy Group is seeking a detailoriented and proactive Billing & Insurance Specialist to support our growing therapy practice in managing insurance claims client billing and reimbursement processes. This role is critical in ensuring timely claim submissions maximizing reimbursements and maintaining accurate financial records in collaboration with our internal billing systems and insurance partners.

The ideal candidate is experienced with mental health billing has a solid understanding of insurance procedures (including Medicaid Medicare and commercial carriers) and can work independently to resolve issues while maintaining strong communication with clients and clinicians.

Key Responsibilities

1. Insurance Verification & Authorization

  • Verify client insurance coverage and benefits before sessions begin

  • Confirm copays deductibles and authorization requirements

  • Communicate clearly with clients about their insurance responsibilities

2. Claim Submission & Processing

  • Submit claims accurately and promptly through our EHR (SimplePractice) or payer portals

  • Ensure the use of correct CPT codes modifiers and diagnosis codes to reduce denials

  • Monitor and follow up on unpaid or denied claims appealing when necessary

3. Payment Posting & Reconciliation

  • Post payments from insurance companies and clients

  • Reconcile Explanation of Benefits (EOBs) and ensure accurate client account balances

  • Track overpayments refunds and adjustments

4. Client Communication & Billing Support

  • Respond to client inquiries about billing and insurance in a timely and professional manner

  • Assist clients with understanding their benefits invoices and outstanding balances

  • Set up and manage payment plans as needed

5. Reporting & Collaboration

  • Generate billing reports to track revenue outstanding claims and reimbursement trends

  • Work closely with the CFO Executive Assistant and clinical team to ensure smooth billing operations

  • Identify trends or patterns in claim denials and implement corrective measures

Qualifications & Skills

2 years experience in medical or mental health billing (required)
Familiarity with EHR systems SimplePractice preferred)
Strong understanding of insurance billing CPT/ICD10 codes and payer rules
Experience working with Medicare Medicaid and commercial payers
Detailoriented with excellent organization problemsolving and followthrough
Excellent written and verbal communication skills
Comfortable working remotely and independently with minimal supervision
Experience handling multistate or multiprovider billing is a plus
