Job Description

Position : Insurance Coordinator (Real Estate)
Working Hours : MF 9AM6PM CT
Salary : $1200/month

The company has been in the commercial real estate business for 85 years. Its property management portfolio currently consists of office and retail properties covering approximately 14 million square feet. General Position Summary:

Performs a variety of professional level duties in support of tracking all tenant insurance certificates and coverage for a portfolio of retail and office properties. The Insurance Coordinator will report to the SVP – Property Management and carry out his or her responsibilities in a manner that is in keeping with the vision of the department.

Essential Functions/Major Responsibilities:

  • Responsible for all activities related to the tracking and compliance of tenants certificates of insurance including but not limited to:

o Securing Certificates of Insurance from tenants on each property and ensuring that the COIs contain the correct information including insurance coverage limits named additional insureds and other key details

o Using Ebix Insurance tracking software to manage the process

o Communication with tenants via email to reconcile discrepancies in insurance coverage and answering their questions

o Communication via email with our account representative for Ebix to gain compliance with the outstanding certificate issues

o Batch uploading information and setting up new properties in the Ebix system

o Communicating with field property management teams to track their insurance compliance

  • Excellent oral and written communication skills
  • Excellent organizational and time management skills; strong attention to detail and commitment to meeting deadlines.
  • Basic understanding of COIs
  • Basic knowledge of Outlook with the ability to send out emails to tenants outlining their deficiencies
  • Knowledge of insurance tracking software like Ebix or the ability to learn how it works
  • Ability to carefully review and verify COIs for accuracy including confirming Certificate Holder and Additional Insured are correct
  • Ability to identify insurance compliance issues when asked by the tenant & communicate the deficiencies to the tenants via email

Education and/or Experience:

  • 35 years’ experience in administrative support work
  • Proficient with MS Office applications inclusive of Word and Excel
