Job Description

JDO Global is looking for a proactive and highly organised Office & HR Admin Assistant to support the smooth running of our London studio. This role is crucial in maintaining an efficient wellorganised office environment while also providing essential HR administrative support.

This is a fulltime officebased role that requires a motivated individual who thrives in a fastpaced creative setting. You will handle a range of administrative tasks from office management and facilities coordination to HR support recruitment assistance and employee engagement initiatives. You may also occasionally assist our other offices in London Shanghai and New York.

Key responsibilities

1. Office operations

Ensure external callers phone calls are answered and meet and greet visitors.

Ensure smooth daytoday operations in the London studio. This includes managing office supplies overseeing cleanliness and addressing buildingrelated issues.

Regularly check office facilities to ensure everything is functioning properly and coordinate any necessary maintenance or repairs.

Undertake physical tasks as required such as moving equipment or tidying shared spaces.

Help to coordinate adhoc events and teambuilding activities.

Execute administrative duties such as booking rooms managing deliveries running errands and liaising with internal functions.

Assist the Managing Director with adhoc project work coordinating with clients providers and suppliers.

Oversee office security enforce policies and manage health and safety assessments in the London Studio and for adhoc events.

2. HR Admin Support

Support recruitment by posting job adverts scheduling interviews and liaising with candidates as guided by and proactively interacting with Global Head of Talent and HR.

Prepare onboarding welcome packs for global new starters and ensure new hires integrate smoothly into JDOs culture.

Schedule and track probationary and performance development meetings supporting managers with documentation.

Support employee engagement initiatives from training coordination to wellbeing activities.

Support with administration of the HRIS system HR documentation and compliance (eg keeping employee records updated).

Assist with HR reporting (eg gathering data for HR metrics).

Key Performance Indicators (KPIs)

1. Office operations

  • Smooth daily operations: The office runs efficiently with minimal disruptions.
  • Stock supply and storage management: Office supplies samples and archives are
    wellorganised labelled and readily available.
  • Building and facility maintenance: Issues are addressed proactively ensuring a safe
    and comfortable work environment.
  • Frontofhouse experience: Visitors and guests receive a professional and welcoming experience reflected in feedback from the team and external contacts.
  • Courier and deliveries: Packages and materials are received/sent on schedule with minimal errors.
  • Events and perks engagement: Strong participation in and coordination of internal events wellbeing activities and team perks.
  • Sustainability and waste management: Recycling and waste reduction initiatives are maintained and improved over time.
  • Purchasing process compliance: Following JDOs established purchasing processes ensuring accuracy and supporting timely financial reporting and staying within budget.
  • Deadline management: Awareness of critical timelines and consistently meeting deadlines across office operations HR tasks and financial coordination.
  • Office policies and efficiency: Office layout supports productivity and policies are consistently followed for smooth operations.

2. HR

  • Candidate and interviewer experience: Clear communication timely updates and a welcoming experience.
  • Onboarding experience: New employees feel welcomed and supported with a structured
    and smooth process.
  • HR system administration: Employee records probation tracking and policies are kept uptodate and wellorganised.
  • Employee engagement: Informal feedback from the team regarding internal initiatives wellbeing programs and a positive and supportive office environment
