- Working closely with Head of Procurement & Site Operations and other site office managers to ensure seamless alignment with business priorities and operational goals.
- Ensures the smooth and efficient operation of the office by managing general administrative functions including travel arrangements visa applications (if required) and onboarding & offboarding support.
- Manage office space equipment and supplies ensuring efficient use and maintenance.
- Ensure compliance with health and safety regulations including first aid and fire safety training.
- Coordinate mail and courier services both domestic and international.
- Maintain employee records including access passes and first aid/health compliance lists.
- Develop manage and monitor the office annual budget providing regular updates to leadership.
- Coordinate with suppliers and vendors for office needs and facilities maintenance. Liaise with external vendors for procurement facility maintenance and event organization.
- Organize and coordinate teambuilding activities training sessions and company events to promote employee engagement.
- Support internal communications and resolve administrative concerns to foster a positive work environment.
- Support leadership in KPI tracking and strategic initiatives.
- Collaborate with internal teams (HR IT Finance and Real Estate) for seamless operational support.
- Local point of contact to support HR and Finance operations including but not limited to colleague onboarding and offboarding processes local point of contact for thirdparty engagements and local banks monitor and maintain site related employee records expense claims insurance and ensuring compliance with statutory regulations (if and when required).
- Multiple/crosssite support.
Qualifications :
- Bachelors degree in Business Administration or a related field (preferred).
- Proven experience in office management site operations or facilities coordination.
- Proven experience in managing budgets and vendor relationships.
- Familiarity with SAP invoicing systems and compliance requirements.
- Knowledge/certifications in first aid fire safety or project management are a plus.
- Strong communication skills both verbal and written with the ability to converse effectively with senior stakeholders.
- Strong IT skills and full proficiency in Microsoft applications
