Job Description

Position: Head of Back Office

Job Overview:

The Head of the Administration/Back Office Department shall bear the responsibility for supervising the rest of the staff in the said department and evaluating its performance.

Key Responsibilities:

  • advertising marketing and promoting the Companys image/brand according to the advertising and marketing guidelines and principles of the Company
  • attracting new Clients subject to the advertising and marketing guidelines and principles of the Company and the onboarding procedures
  • supervising the website content management in accordance with the Companys policy on marketing and promotion
  • assisting the AMLCO with the maintenance and update of the Client onboarding procedures
  • providing Company information to the Clients (terms of business of the Company).
  • assisting with the conduct of the due diligence procedures at the onboarding stage (KnowYourClient procedures)
  • implementing the Client classification procedure as per the provisions of the Law
  • implementing the Fitness Test determining the assessment of the expertise experience and knowledge of the Client
  • following the approval of a Client onboarding and for the duration of the business relationship monitoring Clients whereas these do not match with their investment profile and notify the AMLCO
  • checking Client relationship inter se if any
  • informing Clients in writing that their personal details shall not be used for any other purposes other than the provision of the services specified in the Client Agreement
  • delivering Client agreement to Clients
  • receiving and following up Client complaints or grievances
  • receiving from the Reception & Transmission Department the list of transactions transmitted for as applicable
  • receiving from the third parties all the relevant confirmations for the executed transactions and performing the necessary reconciliations
  • confirming the of transmitted Client orders through notifications sent to Clients as per the provisions of Section 6.3.1 of the IOM
  • interfacing with the Finance & Accounting Department system
  • Client record keeping and documentation filing in the backoffice system and/or in hard copy format as applicable of:
  • Client agreements and all the relevant documentation (KnowYourClient procedure documents)
  • Client complaints or grievances
  • Client technical support requests/enquiries
  • Client contact history reports
  • outsourcing agreements
  • daily list of all the Clients transmitted orders for
  • daily list of all the transactions executed by third parties and the Brokerage Department
  • Client transaction records as per the provisions of Section 6.7.2 below
  • records of the notifications and reports sent to Clients through third parties) as applicable
  • employees/personnel files
  • Disaster Recovery Plan (DRP)
  • computer equipment support contracts
