Job Description

Budget and Procurement

  • Support the Head of RMU with cost estimates financial analyses forecasts and budget reports. Keep the Power BI dashboards updated.
  • Monitor internal billing and the communications tools bundle. Liaise with Digital Communications Web and Publications (DCWP) Division as necessary.
  • Coordinate the Market Consultations in CISC Division ensuring that OECD financial procedures for procurement are adhered to liaising with CPG as necessary.
  • Participate in the exercise of forecasting missions. Organise and monitor official missions for staff including travel arrangements and processing of expense claims using SAP software; compile briefing files and assist in the preparation of mission reports.
  • Handle purchase orders in accordance with the OECD financial procedures and rules. Verify the budgetary imputations monitor progress and follow up on the purchase orders and confirmations of delivery.
  • Ensure complete and accurate records are kept for audit purposes.
  • Participate in finance community working groups that provide input to the design and enhancement of new software and applications.
  • Keep abreast of OECDs regulatory framework relevant to financial management reforms.

Human Resources (HR) and Admin

  • Coordinate staff recruitment for the CISC division including the preparation of job vacancies for publication organizing candidate testing panel interview logistics managing the candidates throughout the recruitment process and support in drafting the panel report.
  • Coordinate the recruitment of interns.
  • Organise the onboarding and offboarding of staff and assist in replying to staff members questions.
  • Participate in human resources working groups that provide input to the design and enhancement of new software and applications.
  • Keep abreast of OECDs regulatory framework relevant to HR and corporate management reforms.
  • Help organize workshops meetings and conferences including room reservations and provide support during the meetings.
  • Manage office space office supplies and timekeeping activities for the Directorate.
  • Support the tasks of the IT correspondent for the Directorate.
  • Draft and update the operational guidelines for various RMU processes and contribute towards the development of best practices.
  • Continuously contribute to improved process efficiency.
  • Assist with other administrative tasks as necessary and provide backup to RMU colleagues as needed.

Qualifications :

Ideal Candidate Profile

Academic Background

  • A university degree in business or public administration HR management finance accounting or a closely related field.

Professional Background

  • One year of proven experience in a finance or HR position in an international context; experience in a major national administration or an international intergovernmental organisation would be an additional asset.
  • Proven experience in the application of administrative or financial procedures and policies.
  • Knowledge of the OECDs structure processes regulations or experience in a similar role in another international organisation would be an advantage.

Tools

  • Excellent knowledge of the IT systems used (SAP SRM SEM GM OBMR SmartRecruiters Concur and the PWB database) or the ability to learn and adapt rapidly to new technologies and systems.
  • Experience in using SAP for budgetary and operational reporting would be a distinct advantage.

Additional Information :

Contract Duration

  • 1year temporary assignment with the possibility of renewal.
  • Ideal start date: 20 April 2025 or as soon as possible

Selection Process

For retained candidates written tests and panel interviews are planned for early April.

Salary Information

  • Depending on level of experience monthly salary 3 500 EUR (T2/2.
