Position Overview:
As a Remote Appointment Scheduler you will be the critical link between our team and clients ensuring that all appointments are scheduled confirmed and maintained with the utmost accuracy. Youll be responsible for handling a variety of tasks related to appointment scheduling such as coordinating calendars confirming details and managing potential conflicts. Your role is key to keeping our operations running smoothly and ensuring that all stakeholders are aligned and informed.

Key Responsibilities:

  • Manage Appointment Schedules: Coordinate and schedule appointments for a variety of departments ensuring accurate and timely entries in the calendar system. Proactively identify any scheduling conflicts and resolve them with precision.
  • Client Interaction: Serve as the main point of contact for clients handling appointment confirmations reminders cancellations and rescheduling. Ensure clear and effective communication to maintain positive relationships.
  • Calendar Coordination: Maintain and update calendars ensuring appointments are logged correctly and conflicts are prevented. Provide timely updates on changes and adjustments.
  • Appointment Reminders: Send reminders to clients and team members prior to appointments confirming dates times and other pertinent details to minimize noshows and ensure preparedness.
  • Scheduling System Management: Utilize scheduling software to input update and track appointments efficiently. Maintain accurate records and ensure all scheduling information is up to date.
  • Problem Solving: Handle any issues or scheduling conflicts promptly offering solutions that align with both internal goals and client needs.
  • Administrative Support: Provide support to other departments as needed including helping with meeting preparations or assisting with special projects.

Skills & Qualifications:

  • Experience: At least 12 years of experience in a scheduling administrative or customerfacing role. Experience with remote work environments is a plus.
  • Organizational Skills: Ability to manage multiple calendars and appointments simultaneously with keen attention to detail. A strong sense of time management is essential.
  • Strong Communication Skills: Excellent written and verbal communication skills with the ability to clearly articulate information to clients and team members.
  • TechSavvy: Comfortable using various scheduling software collaboration tools and cloudbased platforms. Familiarity with tools like Google Calendar Outlook and Zoom is a plus.
  • ProblemSolving: Capable of quickly addressing scheduling conflicts and finding appropriate solutions without disruption to business operations.
  • CustomerCentric: Strong commitment to providing exceptional customer service and maintaining positive professional relationships with clients.
  • Adaptable: Ability to work in a fastpaced evolving environment and to adapt to new tools or changes in scheduling processes.
