Job Description

Description

The office clerk prepares correspondence reports statements and other documents uses office equipment answers phone calls verifies records and processes forms and documents such as purchases and requests and performs various general office tasks according to established methods.

Duties and Responsibilities

Here are the main tasks and activities that the office clerk must perform as well as some of the physical requirements they may involve:

  • Respond to inquiries made by phone in person or electronically or direct these inquiries to the appropriate person.

  • Prepare correspondence reports statements forms presentations requests and other documents.

  • Process incoming and outgoing mail both by post and electronically.

  • Photocopy and staple documents for distribution mailing and filing.

  • Send and receive messages and documents using a fax machine or email.

  • Maintain supply inventory order supplies as needed and ensure office equipment maintenance is carried out.

  • Sort verify and process receipts expenses forms and other documents when necessary.

  • Coordinate the work of other office support staff if applicable.

  • Perform general accounting tasks as needed such as preparing invoices and bank deposits.

  • Enter data.

  • Place and receive orders.

  • Prepare various documents like schedules employee announcements and others.

  • Manage employee payroll issues.

  • Other related tasks.
