You will be updated with latest job alerts via emailResponsible for assisting the Assistant Dean of Students with planning coordinating and implementing Law Student Services for a population of 800 students. Oversee the Student Bar Association supervise all Student Organizations and related programs and promote positive and constructive activities to meet the needs of a diverse student body grow student satisfaction and increase retention. Plan orchestrate and execute all aspects of studentrelated events. Assist and collaborate with colleagues on additional internal professional events symposia Moot Court Competitions and the like as well as occasional external events for clients looking to rent space in the building. Oversee all space booking and classroom/event setup needs.
Duties and Responsibilities:
1. Student Bar Association and Student Organizations
Supervise all student organizations and their activities/events.
Directly supervise the Student Bar Association (SBA) oversee election process attend meetings and attend any activities/events they host.
Assist SBA representatives with the planning and of all events (in person virtual or hybrid) such as Barristers Ball Fall Fest Section events panel discussions etc.
Advise and counsel student leaders in the successful implementation of their activities/events including the organizations traditional events speaker panels banquets socials etc.
Oversee 40 student organization budgets totaling approximately $100000.
Responsible for the budgeting scheduling planning and registration/payment tracking for all student organizations and SBA activities/events.
Facilitate leadership and group trainings for student leaders.
Responsible for student advisement regarding Law School policies and practices including those laid out in the Student Organization Handbook.
2. Student Services
Contribute to the daytoday functioning of all Law Student Services including but not limited to:
Manage and update relevant web content.
Maintain the bulletin boards by contributing to the planning of department board content and monitoring the buildingwide posting of flyers.
Assist with the advertisement collection stocking and review of the Food Pantry.
Provide support and assistance to students who come to Student Services seeking guidance or support as it relates to securing affordable housing commuting managing a personal challenge or navigating the law school landscape.
Work regularly with and contribute to oversight of Research Assistant(s) when needed.
Student Services Events:
Responsible for planning coordinating and executing all facets of the Law School Graduation Awards Ceremony as well as supporting varied aspects of Commencement preparation and .
Aid in the scheduling planning advertisement and registration/payment tracking for all Student Services events including HobbsLarson Lecture Law School Mental Health Awareness events etc.
Contribute to the orchestration of Orientation and other large Law School Events or events at the request of the Dean.
3. Event Management (for internal and external events)
Manage the needs of all symposia/events that take place in the building including AV seating scheduling food and beverage ordering and coordination heating/cooling etc. Handle all emergencies as they arise.
Responsible for directing setup and break down of events. Determine setup/floor plan using diagrams. Work with outside vendor when needed to rent furniture and equipment for each event. Coordinate event dcor and event atmosphere within budget constraints.
Assist with the ordering of catering through our vendor while ensuring that the catering area is set up according to the standards of the requestor and food safety guidelines.
Advise the event host with regard to professional event details such as nametags check in and signage for each event.
Serve as principal liaison between Contactors Organizers Renters Faculty and Administrators with regards to all facets of the logistical operations support of multiple programs and events.
Responsible for communicating with all relevant departments including but not limited to the Office of Physical Plant to ensure proper heating/cooling arrangements and that maintenance is scheduled around events as well as building Security to advise them about any external visitors to the building etc.
Manage all space booking through 25Live encompassing room reservations for meetings events classes etc.
4. Building Rental:
Follow all Law School and University policies and procedures regarding the rental of space in the Law School.
Collaborate with colleagues to ensure that the clients needs are met and that they have a successful experience.
Create relationships with potential clients/ renters by following up on rental inquiries and hosting facilities tours as appropriate.
Assist in maintenance of web content related to building rentals and maintain and utilize the Unique Venues platform.
Work with the Law School Communications team to create effective and informational advertisements to promote available space in the building.
Create and maintain all records regarding building rentals including contact information the Facilities Use Agreements invoices payments etc.
5. Continuing Legal Education (CLE) Programming:
Collaborate with Faculty student organizations (specifically Journals) and various departments to support the of programs seminars lectures and public events (in person virtual or hybrid) that offer CLE credit in order to broaden and expand the scope and outreach of the Law School. Serve as point person on certain of these events that are studentled.
Work with colleagues as needed to update web content relating to CLE events including event registration lists and tracking payments.
Supply all relevant CLErelated files and records to designated colleague for mandated reporting related retention.
Maintain CLE calendar to ensure the courses do not conflict and/or compete.
Responsible for handling all event details including booking of space securing any additional furniture needed and ordering catering for all CLE events while additionally printing all name tags name plates registration lists speaker biographies timed agendas supporting materials etc. for those studentled CLE events over which there is specific oversight.
Where applicable handle dayof event details such as collecting attendance verification forms attorney affirmation documents sign in/sign out sheets.
When serving as point person send out all CLE certificates within 7 business days of the CLE courses evaluation form.
