Position Summary
The primary duties of the individual in this role include organizing and coordinating office procedures operations and resources to make organizational efficiency and effectiveness easy. They will serve as the primary contact for all business travelers. They will be responsible to ensure that the offices are functioning at 100 and represent image we want to portray to customers visitors and employees.
Position Responsibilities
  • Lead the activities and allocate resources or vendors to conduct office and facility maintenance activities.
  • Manage the receptionist and related activities for the organization.
  • Lead the organization and delivery of customer meetings and events.
  • Identify design and implement approved office procedures and policies.
  • Analyze monitor and maintain office supplies inventory.
  • Review and approve office supply requisition and ordering handle/forward customer complaints and inquiries.
  • Identify design and implement policy and procedural changes needed to improve operational efficiency.
  • Liaise with other groups agencies and organizations needed to support PROENERGY events and/or initiatives.
  • Arrange conference rooms and conference calls.
  • Greet visitors and callers handle their inquiries and direct them to the appropriate personnel.
  • Monitor visitor badges signin sheet and employee badge distribution.
  • Manage inventories for lunch/breakrooms.
  • Ready the lunch/break rooms each morning.
  • Provide administrative support to PROENERGY departments upon request.
  • Assist with facility emergencies by following specified protocols.
  • Keep office entrances presentable and safe. Report complaints or concerns.
  • Coordinate and support PROENERGY travelers within the travel system.
  • Must be able to manage all activities with highest level of confidentiality and discretion.
Required Qualifications
  • High School diploma or equivalent and 8 or more years of equivalent office management experience in a midsized company; OR Associates Degree from an accredited university in business or other general management field and 4 or more years of similar experience.
  • Successful candidate will need to satisfactorily complete preemployment drug screen and background check
  • US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a workauthorized visa.
Desired Qualifications
  • Bachelors Degree in business or management field from an accredited institution
  • Intermediate skills on Microsoft Office Suite including Outlook Word Excel and PowerPoint.
  • Proficient in the use of a variety of general office equipment and skilled at typing at a speed necessary for successful job performance
  • Knowledge of principles of business letter writing and report preparation
  • Demonstrated knowledge and use of correct English when speaking and spelling grammar and punctuation when writing.
  • Knowledge of basic business arithmetic
  • Ability to establish and maintain effective relationship with the public and coworkers tocommunicate effectively
  • Ability to respectfully respond to requests and inquiries from the general public in person and over the telephone
  • Ability to analyze and resolve problems in a logical and effective manner
  • Ability to simultaneously manage multiple job assignments
