Job Description

  • Act as the point of contact among executives employees clients and other external partners
  • Preparing financial statements reports memos invoices letters and other documents
  • Manage to schedule for company executive(s)
  • Manage information flow in a timely and accurate manner
  • Answering phones and routing calls to the correct person or taking messages
  • Draft review and send communications on behalf of company executive(s)
  • Make travel and accommodation arrangements
  • Handling basic bookkeeping tasks
  • Organize and prepare for meetings including gathering documents and attending to the logistics of meetings
  • Rack daily expenses and prepare weekly monthly or quarterly reports
  • Filing and retrieving corporate records documents and reports
  • Oversee the performance of other clerical staff
  • Researching and conducting data to prepare documents for review and presentation by boards of directors committees and executives
  • Act as an office manager by keeping up with office supply inventory
  • Using various software including word processing spreadsheets databases and presentation software
  • Format information for internal and external communication memos emails presentations reports
  • Performing office duties that include ordering supplies and managing a records database


Requirements

  • High school diploma
  • Work experience as an Executive Assistant Personal Assistant or similar role
  • Basic understanding of frequently used computer software and programs such as Microsoft Office
  • Outstanding organizational and time management skills
  • Ability to organize a daily workload by priorities
  • Excellent written and verbal communication skills
  • Familiarity with office gadgets and applications (e.g. ecalendars and copy machines)
  • Must be able to meet deadlines in a fastpaced quickly changing environment
  • Timemanagement skills
  • Discretion and confidentiality
