Job Title: Finance Manager
Location:
Remote (EST Time Zone)
Salary Range:
up to 1200 USD

Work Schedule:
Monday Friday 8:00 AM to 4:00 PM (EST)

Position Overview:

We are looking for a detailoriented Administrative Assistant to support daily operations by managing invoices scheduling jobs organizing work orders and handling customer communication. This role requires strong organizational skills attention to detail and the ability to manage multiple administrative tasks efficiently.

Key Responsibilities:

  • Invoice Management: Prepare send and track invoices; follow up on outstanding payments.
  • Job Scheduling: Coordinate and schedule jobs based on project timelines and crew availability.
  • Customer FollowUp: Maintain regular communication with customers to provide updates confirm scheduling and address inquiries.
  • Timesheet & Payroll Coordination: Collect employee timesheets verify accuracy and assist with payroll processing.
  • Work Order Organization: Maintain and organize digital work orders for easy access and reference.
  • Data Entry & Documentation: Keep accurate records of projects invoices and employee hours in company systems.
  • General Administrative Support: Assist with emails reports and other administrative tasks as needed.


Qualifications:

  • Proficiency in Microsoft Office Suite (Outlook Teams Excel SharePoint).
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and manage administrative workflows efficiently.
  • Experience using a CRM (preferred but not required; willing to train).
  • Spanish proficiency (strongly preferred).
