Position: Office Assistant
Reports to: Office Manager
Parttime 20 hours per week
FLSA: Hourly NonExempt
General Summary: The Office Assistant is the first point of contact for parishioners and visitors to the parish assisting with ministry needs and other miscellaneous administrative responsibilities.
Primary Responsibilities
- Receive and direct phone calls and take messages.
- Schedule appointments and Masses.
- Write thank you notes and type letters.
- Attend staff meetings and other meetings as requested.
- Provide backup for envelope entry.
- Oversee the timely opening and secure closing of the office each day.
- Ensure that all machines are off windows and doors are locked and all lights and heat/air conditioning are off.
- Enter new Parishioners into the Parish Soft system and maintain the parish offering envelope system.
- Update data on a regular basis and print quarterly reports.
- Provide assistance by referring people to the appropriate charitable or social agencies/organizations.
- Call and send welcome letters to new parishioners from the pastor.
- Maintain an office environment that ensures absolute confidentiality.
- Provide support to others in office as needed.
Knowledge Skills and Abilities
- High school diploma or equivalent
- Proficient in MS Office Suite
- Customer service experience
- Excellent organizational skills
LANGUAGE SKILLS
Ability to write reports business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers clients vendors employees and the public.
MATHEMATICAL SKILLS
Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems collect data establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
