Job Description

Position Summary

The Director of Finance is a strategic and operational leader responsible for overseeing all financial activities and ensuring the organizations longterm financial sustainability. This role provides senior leadership with financial oversight including reporting budgeting compliance and strategic planning while working closely with department managers to align financial resources with the museums mission and goals. Key responsibilities include preparing and analyzing financial statements coordinating audits and tax filings developing financial strategies and ensuring regulatory compliance. This position also plays a critical role in financial forecasting and decisionmaking offering insights that drive operational efficiency and fiscal responsibility. The Director of Finance leads a finance team that supports budgeting financial reporting and daily accounting functions ensuring accuracy and transparency across all financial operations. Beyond finance this role oversees the Information Technology department including systems and audio/visual services ensuring the museums technological infrastructure effectively supports operations exhibitions and events. Additionally this role shares responsibility for HR functions related to payroll benefits administration and compliance ensuring seamless integration of financial and HR processes.

Major Duties

The following responsibilities are listed without specific order and each is equally important to the success of The Museum. All responsibilities are crucial to our daily operations.

  • Provide strategic financial leadership to ensure the organizations fiscal health longterm sustainability and resource optimization.
  • Direct financial and budgeting activities to fund operations maximize investments and enhance efficiency.
  • Monitor income and expenses ensuring financial stability and responsible allocation of resources.
  • Conduct financial forecasting risk management and scenario planning to guide decisionmaking by senior leadership.
  • Prepare and issue timely financial statements for the museum and its foundation.
  • Coordinate annual audits and oversee tax return preparation including the 990tax filing.
  • Maintain financial records ensuring compliance with accounting standards.
  • Track capital projects and prepare capitalization reports upon completion.
  • Perform bank and account reconciliations to ensure accuracy.
  • Ensure compliance with financial tax and employment regulations providing guidance on policy updates.
  • Oversee financial reporting including reconciling endowment and investment accounts.
  • Maintain and track endowment net assets ensuring proper donorrestricted allocations.
  • Collaborate with investment consultants on endowment fund management and review monthly investment summaries to ensure alignment with financial goals.
  • Approve and coordinate withdrawals and investments for various funds.
  • Develop and manage annual budget templates adjusting forecasts as needed.
  • Perform financial analyses to guide operational and strategic initiatives.
  • Supervise finance staff and act as backup for all finance and accounting operations when necessary.
  • Oversee payroll processing ensuring accuracy and compliance with laws and regulations.
  • Lead benefits planning and administration collaborating with HR and external partners.
  • Serve as the primary contact for insurance brokers negotiating and managing contracts.
  • Collaborate with HR on financial compliance matters and consult legal counsel as needed.
  • Provide leadership for Information Technology ensuring secure and effective financial and operational systems.
  • Oversee the implementation and maintenance of audio/visual services to support exhibitions events and daily operations.
  • Supervise Finance and IT staff offering mentorship professional development and setting performance expectations.
  • Establish structured reporting and collaboration processes across Finance IT and HR to enhance efficiency and accountability.
  • Perform other duties as needed to support the Finance departments success and the museums mission.
  • Adhere to policies and procedures outlined in the Employee Handbook.
  • All other duties as assigned.

Minimum Qualifications

  • Bachelors degree in business administration or a related field required masters degree preferred.
  • At least five years of experience in leadership administration preferably in a nonprofit capacity.
  • Must pass an extensive background and credit check.
  • Extensive teambuilding and supervisory experience in a nonprofit environment ideally within dynamic cultural organizations.
  • Exceptional written and verbal communication skills with advanced proficiency in presentation negotiation project management and problemsolving.
  • Strong people management interpersonal and teambuilding skills.
  • Ability to multitask determine priorities fluidly and efficiently triage emerging situations deploying resources and troubleshooting as needed.
  • Willingness to work varied hours including nights and weekends when applicable.
  • Exceptional organizational planning and financial management skills with a strong ability to prioritize and streamline processes for efficiency and effectiveness.
  • Proficiency in Microsoft Word Excel PowerPoint and internetbased research as well as experience with accounting software or other financial management systems.

Preferred Qualifications

  • Experience working with external boards and committees.
  • Demonstrated success in managing large crossfunctional teams within nonprofit organizations.
  • Ability to multitask determine priorities fluidly and efficiently triage emerging situations deploying resources and troubleshooting as needed.
