Generate periodic reports on project progress, HR activities, and administrative updates for the General Manager.
Monitor and flag upcoming deadlines for renewals, permits, or certifications.
Liaise with UAE HR on crew travel requirements and planning.
Coordinate office maintenance and repairs
Act as the focal point between the General Manager, internal departments, and external stakeholders.
Facilitate effective communication across departments to ensure alignment and project success.
Organize and maintain schedules for meetings, follow-ups, and key deadlines.
Prepare, manage, and organize documentation, records, and correspondence efficiently.
Maintain proper filing systems and ensure all project documents are updated and accessible.
Coordinate with external vendors and service providers as required.
Oversee office supplies, equipment, and procurement processes for the Al Khobar office.
Recruitment and Onboarding
Job Postings: Assist with creating and posting job advertisements for open positions, using internal systems and external platforms (job boards, social media, etc.).
Candidate Screening: Screen resumes and applications, schedule interviews, and assist in selecting candidates for further assessment.
Interview Coordination: Coordinate interview schedules, prepare interview questions, and assist hiring managers during the interview process.
Onboarding: Assist in the onboarding process for new hires, including preparing orientation materials, ensuring that necessary documentation (employment contracts, tax forms, etc.) is completed, and helping with employee integration.
. Employee Records and Administration
Record Keeping: Maintain accurate and up-to-date employee records, including personal details, employment history, qualifications, and performance reviews.
Documentation Management: Ensure all HR-related documents are stored and filed in a secure and organized manner, in compliance with company policies and legal requirements.
Employee Data Management: Enter and update employee data in HR software and databases, ensuring accuracy and confidentiality.
Payroll and Benefits Administration
Payroll Support: Assist with payroll preparation by collecting timesheets, processing employee pay, and ensuring that all hours worked, benefits, deductions, and overtime are accurately recorded.
Benefits Coordination: Assist employees with inquiries related to benefits programs, such as health insurance, retirement plans, paid time off (PTO), and other employee benefits. Help with benefits enrollment and changes.
Compensation Tracking: Help monitor and track compensation changes, bonuses, and raises, ensuring they are accurately processed.
Employee Relations and Support
Employee Queries: Respond to employee inquiries regarding HR policies, benefits, payroll, and other work-related issues.
Conflict Resolution: Assist in resolving minor conflicts or employee complaints by providing administrative support or directing concerns to HR managers for further investigation.
Exit Interviews: Coordinate exit interviews with departing employees, ensuring the collection of feedback and necessary documentation.
Compliance and Legal Adherence
Policy Implementation: Ensure that company policies are communicated and followed in compliance with local, state, and federal employment laws.
Compliance Reporting: Help prepare and maintain compliance reports related to HR activities, including Equal Employment Opportunity (EEO), health and safety regulations, and labor laws.
Health and Safety: Assist with maintaining compliance with workplace health and safety regulations, such as arranging safety training and conducting workplace inspections.
