Responsibilities
Provide administrative support to worldwide CC/IS/IPD R&D team
Process purchase order requests in BuySmart internal product sample order requests and IT orders
Assist suppliers and buyers in resolving invoice issues
Submit new supplier requests in Aravo
Generate iCertis contracts (e.g. NDAs)
Coordinate meetings and events by scheduling conference rooms sending invites arranging catering etc.
Draft communications (employee communications announcements etc.) in collaboration with others
Maintain distribution lists in FIM
Complex domestic and international travel arrangements in Concur
Process monthly expense reports for leadership team in Concur
Calendar management for leadership team
Track action items and status
Coordinate and track shipments
Set up flower arrangements and virtual cards
Provide backup support to other administrative assistants and MDS R&D business groups as needed
Education/Experience
High school diploma (or equivalent)
35 years of progressive administrative experience
Skills
Proficient in Microsoft Office applications (Word Excel PowerPoint Outlook and Teams)
Strong interpersonal oral and written communication skills to effectively communicate with associates at all levels
Must be able to handle highly confidential information
Shows initiative good judgment and is able to work independently
Work Environment and Physical Demands
This is a hybrid position with three days inoffice and two days remote
Hours are typically 9 a.m. to 6 p.m. Monday to Friday with occasional overtime required
Open cubicle environment
Candidate must be able to work in a teamoriented fastpaced environment
Candidate will be required to frequently communicate via video meetings
