Executive Secretary, MSS

Executive Assistant provides high quality and comprehensive secretarial and administrative services to CEO and MSS Mgmt including coodinating the schedule with VIP visitors and internal/external clients email and meeting management and travel arrangement.

Role holders may carry out tasks such as:

Assist CEO for any ad-hoc requirements

Assist CEO and MSS mgmt for administrative tasks such as due date control expense management organising schedules maintaining diaries and making appointments

Assist CEO and MSS mgmt for travel and accommodation arrangement

Communite with clients on admin or logistic matters for CEO

Co-ordinate activities events services and manage supplies and invoices for MSS department

Document management including disseminating information drafting presentations and filing

Act as fire warden and primary point of contact for MSS area

Experience

Minimum of 3 years of Executive Secretarys experience in an international financial firms

Skills and Qualifications

Strong knowledge of administrative and clerical procedures

Excellent interpersonal skills with counterparties from different cultures and backgrounds

Deep knowledge of Japanese business manner

Strong time management skills

Excellent IT/PC skills e.g. Office Word Excel

Fluency in English both oral and written

Proactive and self motivated person

Have excellent communication skills demonstrate sound work ethics posses cultural awareness and sensitivity be flexible and respectful be customer service oriented
