Receptionist / Workplace Assistant (Gartner Account)
Position Summary
The Receptionist / Workplace Assistant provides frontline support for workplace operations and guest services at the client site. This role serves as the first point of contact for employees visitors and vendors delivering professional reception services while supporting day-to-day workplace coordination activities. The position also supports financial administration by managing purchase orders and goods receipts in both client and JLL procurement systems. The role works under the guidance of the Workplace Coordinator and Regional Facility Manager to ensure a welcoming efficient and well-maintained workplace environment.
Key Responsibilities
Reception & Front of House Services
Serve as the primary point of contact at the reception desk greeting employees guests and vendors in a professional and welcoming manner.
Manage visitor registration including issuing visitor badges logging guest information and ensuring compliance with site security protocols.
Answer and direct incoming calls to appropriate departments or individuals.
Manage meeting room bookings coordinate room setup and ensure rooms are prepared and maintained.
Support courier and mail services including receiving sorting and distributing incoming packages and correspondence.
Maintain a neat organized and professional reception area at all times.
Workplace Support & Coordination
Support daily workplace operations including pantry services stationery supplies and general office supplies replenishment.
Coordinate access card requests and support building access administration for employees and contractors.
Log service requests and coordinate with vendors for routine workplace services (cleaning waste management minor repairs).
Support workplace inspections by reporting maintenance issues cleanliness concerns or safety hazards to the Workplace Coordinator.
Assist with onboarding support including workspace readiness and employee orientation to workplace services.
Vendor & Service Coordination
Coordinate vendor access and ensure contractors comply with site access procedures and working hours.
Collect and submit contractor working hours documentation as required.
Support scheduling of routine services such as cleaning waste collection and pantry restocking.
Financial Administration & Procurement Support
Raise Purchase Orders (POs) in both the client procurement system (Coupa) and JLL system (E1/JDE) for workplace services and supplies.
Process Goods Receipts (GRs) in Coupa and E1 upon confirmation of service delivery or product receipt.
Ensure accurate coding cost center allocation and documentation for all procurement transactions.
Track and maintain records of POs GRs and related invoices for audit and reconciliation purposes.
Coordinate with vendors and internal finance teams to resolve procurement or invoice discrepancies.
Support invoice validation and submission through approved finance systems under guidance.
Maintain financial trackers for recurring services and fixed contracts.
Administrative Support
Maintain accurate logs and records related to visitors access requests and service activities.
Assist with document preparation filing and general administrative tasks as needed.
Maintain workplace contact lists service provider directories and site documentation.
Health Safety & Compliance
Report incidents near misses and safety concerns promptly to the Workplace Coordinator or Regional Facility Manager.
Support compliance activities such as AED checks and maintaining health and safety signage.
Ensure adherence to site emergency procedures and assist during evacuation drills.
Customer Service & Stakeholder Support
Deliver responsive professional and courteous service to all employees guests and vendors.
Respond to general workplace inquiries and escalate complex requests appropriately.
Support employee experience initiatives and workplace engagement activities.
Follow up on service requests to ensure timely resolution and customer satisfaction.

Education & Experience
High school diploma or equivalent required; associate or bachelors degree preferred.
12 years of experience in reception customer service or workplace support roles.
Experience with procurement systems or financial administration is an advantage.
Experience in a corporate office or facilities environment is an advantage.
Familiarity with visitor management systems and meeting room booking platforms is a plus.

La figura di Receptionist / Workplace Assistant fornisce supporto in prima linea per le operazioni del luogo di lavoro e i servizi di accoglienza presso la sede del cliente. Questa posizione rappresenta il primo punto di contatto per dipendenti visitatori e fornitori erogando servizi di reception professionali e supportando le attività quotidiane di coordinamento del workplace. La posizione supporta inoltre lamministrazione finanziaria gestendo ordini di acquisto e ricevute merci sia nel sistema di procurement del cliente che in quello di JLL. Il ruolo opera sotto la supervisione del Workplace Coordinator e del Regional Facility Manager per garantire un ambiente di lavoro accogliente efficiente e ben mantenuto.
Responsabilità Principali
Servizi di Reception e Front Office
Fungere da punto di contatto principale presso il banco reception accogliendo dipendenti ospiti e fornitori in modo professionale e cordiale.
Gestire la registrazione dei visitatori inclusa lemissione di badge la registrazione delle informazioni degli ospiti e la conformità ai protocolli di sicurezza del sito.
Rispondere e indirizzare le chiamate in arrivo ai reparti o alle persone appropriate.
Gestire le prenotazioni delle sale riunioni coordinare lallestimento e assicurare che le sale siano preparate e mantenute.
Supportare i servizi di corriere e posta inclusi ricezione smistamento e distribuzione di pacchi e corrispondenza in arrivo.
Mantenere larea reception sempre ordinata organizzata e professionale.
Supporto e Coordinamento Workplace
Supportare le operazioni quotidiane del workplace inclusi servizi di pantry forniture di cancelleria e rifornimento generale di materiali dufficio.
Coordinare le richieste di tessere daccesso e supportare lamministrazione degli accessi alledificio per dipendenti e appaltatori.
Registrare le richieste di servizio e coordinarsi con i fornitori per i servizi di routine del workplace (pulizia gestione rifiuti riparazioni minori).
Supportare le ispezioni del workplace segnalando problemi di manutenzione pulizia o rischi per la sicurezza al Workplace Coordinator.
Assistere nel supporto allonboarding inclusa la preparazione degli spazi di lavoro e lorientamento del personale ai servizi del workplace.
Coordinamento Fornitori e Servizi
Coordinare gli accessi dei fornitori e assicurare che gli appaltatori rispettino le procedure di accesso al sito e gli orari di lavoro.
Raccogliere e inviare la documentazione delle ore lavorate dagli appaltatori come richiesto.
Supportare la pianificazione di servizi di routine come pulizia raccolta rifiuti e rifornimento pantry.
Amministrazione Finanziaria e Supporto Procurement
Creare Ordini di Acquisto (PO) sia nel sistema di procurement del cliente (Coupa) che nel sistema JLL (E1/JDE) per servizi e forniture del workplace.
Processare Ricevute Merci (GR) in Coupa ed E1 alla conferma della consegna del servizio o della ricezione del prodotto.
Garantire codifica accurata allocazione dei centri di costo e documentazione per tutte le transazioni di procurement.
Tracciare e mantenere registrazioni di PO GR e fatture correlate per scopi di audit e riconciliazione.
Coordinarsi con fornitori e team finanziari interni per risolvere discrepanze di procurement o fatturazione.
Supportare la validazione e linvio delle fatture attraverso i sistemi finanziari approvati sotto supervisione.
Mantenere tracker finanziari per servizi ricorrenti e contratti fissi.
Supporto Amministrativo
Mantenere registri accurati relativi a visitatori richieste di accesso e attività di servizio.
Assistere nella preparazione di documenti archiviazione e attività amministrative generali secondo necessità.
Mantenere elenchi di contatti del workplace directory di fornitori di servizi e documentazione del sito.
Salute Sicurezza e Conformità
Segnalare tempestivamente incidenti quasi incidenti e problemi di sicurezza al Workplace Coordinator o al Regional Facility Manager.
Supportare le attività di conformità come controlli DAE e manutenzione della segnaletica di salute e sicurezza.
Garantire laderenza alle procedure di emergenza del sito e assistere durante le esercitazioni di evacuazione.
Servizio Clienti e Supporto agli Stakeholder
Fornire un servizio reattivo professionale e cortese a tutti i dipendenti ospiti e fornitori.
Rispondere alle richieste generali sul workplace ed escalare appropriatamente le richieste complesse.
Supportare le iniziative di employee experience e le attività di engagement del workplace.
Effettuare follow-up sulle richieste di servizio per garantire risoluzione tempestiva e soddisfazione del cliente.

Istruzione ed Esperienza
Diploma di scuola superiore o equivalente richiesto; laurea breve o triennale preferibile.
12 anni di esperienza in reception servizio clienti o ruoli di supporto workplace.
Esperienza con sistemi di procurement o amministrazione finanziaria costituisce un vantaggio.
Esperienza in un ufficio aziendale o ambiente facilities costituisce un vantaggio.
Familiarità con sistemi di gestione visitatori e piattaforme di prenotazione sale riunioni è un plus.
