Job Summary

Job description

The Finance Officer reports to the Finance Manager and is a vital link in the IAAs Finance team. They work alongside another Finance Officer and within a wider Finance Team. The primary role of the Finance Officer is to fulfil the technical and administrative requirements of the Finance team primarily purchase to payment processing while also having an administrative support role for payroll and travel & subsistence processing. They will also assist with ad-hoc reporting audits and budgetary preparation. This position will provide the successful candidate with the opportunity for personal and career development within the organisation.

Job requirements

The Finance Officer role includes the following responsibilities:

Purchase to Payment

  • Posting of purchase invoices

  • Recording PSWT and reverse-charge VAT where applicable

  • Administration of purchase order system (with support from purchasing team)

  • Preparation of weekly payment runs

  • Creditors reconciliations and reporting

  • Resolve supplier queries

Travel & Subsistence

  • Check that expense submissions are accurate and in line with company policy and legal requirements before sending for payment

  • Provide support to expense claimants as needed

Payroll

  • Process fortnightly payroll changes in Sage Payroll

  • Answer staff payroll queries

  • Prepare pension credit union trade union and other payroll remittances

Bank & Cash

  • Record bank payments

  • Record and post travel trade bond account movements

  • Prepare bank and petty cash reconciliations

Reporting & Other

  • Assist with internal and statutory audits

  • Assist with budget preparation

  • Prepare Prompt Payment quarterly returns

  • Record and post travel trade license income

  • Assist the Finance Manager with ad-hoc reporting

  • Excellent IT skills including the full range of O365 is a prerequisite. Ability to familiarise and become proficient with specialist software is also required.

Skills and Qualifications

The successful candidate should have the following qualifications and skills:

Required:

  • Qualified Accounting Technician or equivalent

  • 2 years minimum relevant work experience

  • Administration of Irish payroll

  • Administration of Travel & Subsistence claims

  • Demonstrates excellent communication and interpersonal skills

  • Excellent planning time management and organisation skills with the ability to work to deadlines while adhering to procedures

  • Have a high standard of written presentation and numerical skills

  • Strong analytical and problem-solving skills with a thorough logical approach

  • Self-confidence initiative and drive with the ability to perform within a team

  • Displays a high standard of professionalism at all times

  • Positive flexible attitude and is committed and keen to learn new skills/systems

  • Excellent IT skills and working knowledge of Office 365 and Microsoft Office Suite applications such as Microsoft SharePoint Excel Word and Outlook

Desirable:

  • Previous experience in SAGE Accounts software or similar accounts packages

  • Previous experience with Purchase Ordering system

  • Prior experience working in a public service or semi-state body

Salary Rate

The salaryis aligned with theAviation Executivepay scale (Incremental Scale36225 to 71151).

Probationary Period

An internal movement probationary period of six months will apply for assessment within the specific role outlined in an Offer of Appointment. This probationary period shall not apply for the assessment of the Employees suitability in the Authority. The Authority reserves the right to re-deploy an employee during and at the end of this period and it may also be extended at the Authoritys discretion.

Hours of Work

Hours of attendance will be fixed from time to time but will amount to not less than 41 hours gross per week. The successful candidate will be required to work additional hours from time to time as may be reasonable and necessary for the proper performance of their duties subject to the limits set down in the working time regulations.

Annual Leave

Annual Leave excluding public holidays is23days per annumrising to 24 days after 5 years service 26 days per annum after 10 years service 27 days per annum after 12 years service and 28 days per annum after 15 years service.

Pension

The successful candidate will remain in their current pension scheme.
