At Volkswagen Group Ireland our workplaces play an important role in how we support our people our brands our retailers and our customers. We are looking for an experienced and hands-on Facilities Manager on a full-time two-year fixed-term contract to take ownership of the day-to-day operation safety compliance and continuous improvement of our corporate HQ and National Learning Academy. This is a varied role where you will combine strong facilities management experience with practical problem-solving stakeholder management and a proactive approach to creating safe efficient and well-run working environments.

Key Responsibilities

Facilities Operations

  • Oversee day-to-day facilities management at two sites: corporate HQ and the National Learning Academy (tools vehicles high-voltage equipment).
  • Ensure buildings equipment and critical infrastructure operate reliably and safely.
  • Manage office services (post supplies meeting rooms visitor experience) in line with business needs.
  • Lead facilities support for onboarding/offboarding to ensure smooth employee integration.

Compliance Health & Safety & Risk Management

  • Ensure full compliance with Irish legislation and VW Group standards for health & safety fire safety high-risk technical environments and physical security.
  • Maintain statutory records inspection logs and evidence of compliance.
  • Conduct regular site audits risk assessments and safety inspections.
  • Lead fire safety management including drills equipment testing and statutory certification.
  • Own business continuity measures including emergency response planning.

Physical Security & Business Resilience

  • Oversee physical security including access control CCTV alarms and monitoring systems.
  • Identify and communicate emerging security risks escalating as needed.
  • Coordinate with CISO Group Security and external agencies during any security incident.
  • Implement and review protective measures to ensure continuity of essential business services (fire alarms leak detection redundant power etc.).
  • Ensure secure management of training environments specialist tools vehicles and hazardous equipment.

Contractor & Supplier Management

  • Lead procurement and performance management of facilities-related contractors and service providers.
  • Negotiate contracts monitor SLAs and ensure value for money.
  • Ensure contractors operate safely and in compliance with statutory and VWG standards.
  • Manage annual budgets for facilities maintenance security and utilities.

Sustainability & ESG Contribution

  • Support ESG goals through waste reduction recycling energy efficiency and sustainable procurement.
  • Track building energy usage and identify opportunities for improvement.
  • Contribute to CSRD reporting by capturing data and improving operational practices.

Training & Culture

  • Deliver and coordinate mandatory training on physical security H&S fire safety and site-specific operational requirements.
  • Build a safety-first culture by coaching managers and employees.
  • Provide induction training for the NLC to ensure safe operation around high-risk equipment.

Digitalisation & Continuous Improvement

  • Modernise facilities processes by adopting digital tools (e.g. maintenance logging asset tracking supplier dashboards).
  • Lead continuous improvement initiatives to streamline processes enhance safety and future-proof facilities operations.
  • Ensure alignment with upcoming HRIS and workflow digitalisation projects where facilities-related processes intersect.

Skills Experience & Qualifications

Essential Experience

  • 5 years experience in facilities management within a multi-site corporate or technical environment.
  • Proven experience in health & safety physical security statutory compliance and contractor management.
  • Comfortable operating in high-risk technical environments (tools vehicles electrical systems).

Technical Skills

  • Strong knowledge of physical security systems (CCTV access control alarm systems).
  • Understanding of asset and infrastructure management (power connectivity HVAC).
  • Skilled in risk assessment incident management and compliance documentation.
  • Working knowledge of building regulations H&S legislation and fire safety requirements.

Desirable

  • Diploma in Facilities Management (or equivalent).
  • Certificates in H&S Fire Safety Emergency Response and Security Management.
  • Experience with sustainability initiatives and energy management.
  • Experience with digital facilities management tools or CAFM systems.

Behavioural Skills

  • Strong communication and stakeholder engagement.
  • Calm under pressure with excellent judgement in incidents or emergencies.
  • Highly organised with strong problem-solving skills.
