We are seeking a Facilities Coordinator/Ambassador to serve as the primary on-site point of contact for day-to-day facilities operations and front-of-house services at McKessons Cork Ireland office. This role ensures that all visitors are received in an informative and friendly manner the nature of each visit is understood and channeled appropriately and the workplace remains safe welcoming and well-run.

Working in close partnership with the Facilities Management services team the Facilities Coordinator / Ambassador supports employees visitors and business partners and delivers a high-quality workplace experience aligned with McKessons Ways of Working.

Reporting to the Director Real Estate International (M4) the Facilities Coordinator / Ambassador helps deliver consistent value-based services that enable the Cork business to focus on its core areas of excellence and partners with the Corporate Real Estate team to enhance the end-user experience for employees customers and visitors.

Key Responsibilities

Front-of-House & Guest Services (30%)

  • Greet welcome and announce employees visitors clients applicants and external partners in an informative and friendly manner.
  • Manage visitor sign-in and badging; follow security procedures for recording guests suppliers and other visitors; arrange escorts as needed; issue visitor passes and validate parking.
  • Maintain a neat safe organized and welcoming reception area; request building housekeeping services as needed.
  • Ensure meeting room readiness; assist with scheduling and preparing meeting and conference rooms coordinating room setup and the delivery of catering.

Facilities Operations (35%)

  • Coordinate daily facilities services including cleaning catering security waste and vending.
  • Monitor office readiness and address maintenance or service issues promptly.
  • Support space moves desk setups and meeting room configurations.
  • Act as on-site liaison for facilities vendors; log and track work orders and service requests.

Administrative & Workplace Support (20%)

  • Provide administrative support to the office location across reception mail and meeting / location services.
  • Support onboarding office events employee queries and day-to-day workplace needs.
  • Maintain basic facilities records inventories invoices filing and mailing systems using technology tools and track operational metrics.
  • Review files records and other documents to obtain information and respond to requests ensuring information is readily available for audits.
  • Perform other clerical duties such as compiling copying sorting and filing records and other duties as assigned.

Health Safety Compliance & Continuous Improvement (15%)

  • Support health & safety processes emergency preparedness and contractor access in partnership with the Facilities Management team.
  • Perform duties in compliance with all relevant company standard operating procedures and policies.
  • Maintain appropriate communications with all levels of the organization.
  • Recommend improvements to processes and internal control activities.

Minimum Job Qualifications

Critical Skills / Business Experience

  • 24 years experience in facilities coordination office management hospitality guest services or a receptionist / front-office role.
  • Strong customer service communication and interpersonal skills with solid written and verbal communication.
  • Experience working with vendors and service providers.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office (Outlook Excel Teams).
  • Hands-on experience with office equipment (e.g. printers copiers. AV/conferences rooms).
  • Professional attitude and appearance; customer-focused approachable and service-oriented.
  • Calm and adaptable in a fast-paced environment with strong follow-through and a problem-solving mindset.
  • Strong multitasking and time-management skills with the ability to prioritize tasks.

Preferred / Specialized Knowledge / Skills

  • Experience in a corporate or multinational office environment
  • Exposure to health & safety or facilities management systems
  • Experience with iOffice or other facility operations software

Education

  • Secondary education (Leaving Certificate) required; a third-level qualification or equivalent work experience in business hospitality facility operations or a related field preferred.

Working Conditions

  • Environment: On-site role based at the Cork Ireland office; primarily reception / front-of-house and general office with regular movement around the building.
  • On-site presence required during core business hours; minimal travel.
  • Physical requirements: general office with occasional light lifting and standing associated with meeting-room setups moves and front-of-house duties.
