Assistant Project Manager
Job Summary
Program / Project Management:
- Assist in the planning execution and monitoring of project activities.
- Coordinate project schedules resources and information.
- Liaise with clients to identify and define project requirements scope and objectives.
- Maintain risk and issue logs and supporting the implementation of mitigation measures.
- Liaise with contractors designers and statutory stakeholders to keep projects moving.
- Support procurement and contract administration activities.
- Ensure projects comply with relevant health safety quality and environmental requirements.
Budget Management:
- Assist in the preparation and management of project budgets.
- Monitor expenditures and ensure adherence to financial plans.
- Prepare financial reports and forecasts.
Document Control:
- Maintain and update project documentation including plans reports and contracts.
- Ensure all documents are stored and managed according to company policies.
- Facilitate document reviews and approvals.
Team Coordination:
- Coordinate and schedule meetings workshops and other project-related events.
- Communicate with team members to ensure alignment on project goals and deliverables.
- Support the project team by facilitating communication and resolving issues.
Reporting and Communication:
- Prepare and distribute project updates and status reports.
- Ensure effective communication with all stakeholders.
- Support the development of presentations and reports for management.
- Use ERP to support project controls and reporting.
Testing Commissioning and Assurance (Desirable):
- Support the coordination and tracking of testing and commissioning activities across project phases.
- Assist in reviewing test plans test procedures and test results to ensure alignment with project requirements.
- Coordinate with contractors designers and stakeholders to support test readiness and issue resolution.
- Monitor and report on testing progress outstanding defects and close-out activities.
- Review testing records certification documentation and evidence of compliance.
- Contribute to lessons learned and continuous improvement initiatives arising from testing and commissioning activities.
Qualifications :
- Bachelors degree in Project Management Business Administration or related field.
- Proven experience as a Project Coordinator or similar role ideally in the Rail industry.
- Strong knowledge of project management methodologies and tools.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office and project management software (e.g. MS Project Trello).
- Strong communication and interpersonal skills.
- Prior experience with ERP (Oracle) is desirable and will be a strong advantage
