Job Summary

Tallaght University Hospital (TUH) is a model 4 voluntary academic teaching hospital partnered with Trinity College and situated in south west Dublin. With a staff of over 4000 people from 63 differentcountries it provides both acute and tertiary care to an increasing population of circa 800000 people and is a provider of local regional and national specialties. It is also a National Urology Centre the second largest provider of dialysis services in the country Pelvic and Acetabulum National Centre and a designated Trauma Unit.

Purpose of the Role:
The Administration Assistant Grade IV will be responsible for ensuring the smooth running of the administration support for the Operating Theatre department.
Overview of Role:
Key Duties and Responsibilities
- Provide general administrative support to the department / Clinical staff
- Deal with telephone queries relating to the department function
- Liaise with staff in other departments the public and outside agencies in a confidential courteous and professional manner
- Liaise with Consultants and their Multi-disciplinary Teams where appropriate
- Coordinate the allocation assignment and key management of staff lockers for all operating theatre personnel.
- Ensure correspondence with GPs/other Hospitals is dealt with in a timely manner
- Provide clinic cover and support to team members as appropriate
- Locate charts outside of medical records where required
- Organize maintain and secure theatre department records and archives in compliance GDPR policy
- Maintain efficient general office procedures as appropriate to the post
- Monitor inventory and manage the procurement of stationary printed forms and physical documentation supplies to support daily department operations.
- Type and file all general correspondence and documentation in relation to the work of the Department
- Process and facilitate in the collation and presentation of data in relation to research projects and work undertaken by the Department
- Provide Medical and Surgical secretarial support when required
- Use of computer packages relevant to the role
- Organize structure and regularly check files within the Theatre Shared Folder to ensure quick access consistency and a clutter-free digital workspace.
- Carry out any other duties which may be assigned from time to time
Qualifications & Experience required
Must have:
- Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher ordinary applied or vocational programmes) or equivalent
Or
- Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5
Or
- Have satisfactory relevant experience which encompasses demonstrable equivalent skills
And
- 2 years relevant administration experience
- Practical experience of use of IT systems / packages
- Fluent command and understanding of the English language to include spoken and written word
- Experience of Microsoft office i.e. Word Excel Outlook PowerPoint
Desirable:
- 1 year experience in Healthcare environment
- Knowledge of Urology Outpatient services
- Have appropriate knowledge of running/managing Outpatient clinics
- Have appropriate knowledge of managing Waiting list
- Knowledge of Medical typing or using other transcription system such as T-pro Medmodus and Synergy
Reward & Recognition
- Remuneration is in accordance with the Department of Health Consolidated Salary Scales 1st June 2026. Grade Code: 0558. Point on scale allocated is based on relevant HSE Circulars
- The appointment is part time permanent contract and pensionable.
- The annual leave entitlement is 27 working days per year pro-rata. The leave year runs from 1st April to the 31st of March each year.
- Normal working hours are 30 hours per week worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement.
