Assistant, Administrative
Job Summary
General Summary:
Perform diversified administrative duties for smooth operations. Responsible for managing catering facility employee transportation maintenance of office equipment stationery carrying out events and special projects.
Duties and Responsibilities (*Essential Functions):
- Attend Meetings and close out on relevant action items pertaining to administrative functions.
- Prepare for customer visits etc. arrange hospitality (Tea/Lunch/Dinner)and generally assist as required. Conferences arranged both in-house and external locations.
- Control general stationery and printing - Includes checking reported usage against accounts to ensure cost for special printed stationery (letterheads envelopes forms etc.)
- Manage and audit monthly photocopier meter readings order supplies report faults.
- Responsible for cost effective travel and transport arrangements (Buses etc) within the Company including any requirements or changes etc.
- Liaise and/or co-ordinate with Human Resources in arranging and preparing for special events/projects/training e.g. Company events etc.
- Responsible for maintaining optimum stock and issue of employee uniforms safety shoes safety glasses cartridges etc..
- Support in Time Office management.
- Generate and implement innovative cost saving ideas in the admin. function.
- Any other relevant job assigned by the management
Job Specifications:
Qualifications: Under-Graduate with relevant aptitude experience and skill for the job.
Experience: 2 years of relevant experience in a administrative capacity
Other Skills: Excellent communication & negotiating skills computer savvy and good understanding of admin. systems and processes.
