Your mission

As Team Assistant at OKAPI:Orbits your mission is to keep the daily operations of our growing team running smoothly. You create order behind the scenes so that colleagues across legal HR finance and leadership can focus on building the future of space traffic coordination without getting bogged down in administrative friction. Through reliability attention to detail and a proactive attitude you make sure documents are where they should be trips are booked without stress and the office is a place people enjoy coming to.

Your tasks and responsibilities
  • Take care of document management across legal HR and finance keeping files organized complete and easy to find
  • Keep order of incoming and outgoing mail ensuring nothing gets lost or delayed
  • Handle travel bookings for conferences and events coordinating flights accommodation and logistics
  • Manage bookings for the company apartment keeping the calendar organized and avoiding conflicts
  • Take care of the office including ordering snacks and drinks and keeping common areas tidy alongside our external cleaner
Your profile

Must-haves:

  • German at C1 level
  • English at least B2
  • Prior experience in an administrative office management or assistant role
  • Strong organizational skills and attention to detail especially when handling sensitive documents
  • Reliable and proactive able to work independently and anticipate needs before they become problems
  • Comfortable juggling multiple small tasks in parallel without losing track
  • Prior experience working with MS Office especially MS Sharepoint Outlook and other applications

Nice-to-haves:

  • Experience with travel booking tools or platforms like Airbnb and other
  • Familiarity with basic HR or legal document handling
  • Past experience in a startup or fast-paced team environment
  • A friendly approachable attitude since youll be a visible point of contact in the office
