Job Opportunity: Project Assistant
Location: Onsite Rhine Ordnance Barracks Medical Center (ROBMC) Project Support Office Weilerbach Germany
Start Date: Immediate
Schedule: Full-Time (40 hours/week)


Support a Once-in-a-Generation Medical Center Project

The Rhine Ordnance Barracks Medical Center (ROBMC) is one of the most significant U.S. military healthcare construction projects in Europe a $1.8 billion facility that will serve thousands of service members and their families for generations. We are looking for a highly organized mission-focused Project Assistant to help keep this complex fast-moving project office running at full speed.

This role is ideal for someone who thrives in a structured environment takes ownership of administrative and coordination functions and takes pride in making a team more effective. You will be embedded in our on-site project office and work alongside architects engineers hygiene specialists and government stakeholders every day.

What Youll Do

Records & Document Management
  • Maintain organized filing systems for digital and hard-copy project documentation design submittals vendor and contractor materials and construction samples
  • Define and enforce records retention procedures in accordance with applicable policies; ensure timely access protection and proper transfer or disposal of files
  • Track project history and maintain copies of all correspondence including current and future projects
  • Manage meeting minutes for construction and design reviews as well as initial outfitting and transition meetings

Office & Meeting Coordination
  • Coordinate and set up internal and external meetings; develop and distribute agendas minutes and required documentation
  • Lead a weekly staff synchronization meeting including development and presentation of near-term schedules milestones and travel plans
  • Set up project meetings with U.S. and German stakeholders user groups and contractors; facilitate audio/visual support and generate meeting minutes
  • Coordinate security and base access travel arrangements and itineraries for official visitors

Communication & Translation Support
  • Provide German translation support both written and oral to assist the project team as needed including meeting documentation design submittals and simultaneous translation during teleconferences
  • Maintain a current point-of-contact list for all user group project representatives and coordinate early notification for design review interfaces
  • Prepare reports and correspondence drawing from a variety of sources; ensure proper format spelling grammar and arithmetical accuracy before release

Office Operations & Administration
  • Generate and maintain office Standard Operating Procedures (SOPs) for staff reference and new employee orientation
  • Assist with in-processing and out-processing actions for new office personnel
  • Manage office supply and equipment ordering processes; anticipate needs submit orders per applicable policies and verify receipt
  • Support key control building management and IT/IM work order requests; establish clear pathways for rapid issue resolution
  • Maintain the office monthly calendar personnel roster and training files for all assigned staff; provide updated rosters on a quarterly basis or as changes occur
  • Coordinate and assist with property inventories; ensure all accountable equipment is properly documented
  • Serve as the primary user of ThinkProject (the project document management platform) supporting document sharing design review comment entry and related actions

Who You Are
  • You are exceptionally organized you create order out of complexity and make sure nothing falls through the cracks
  • You communicate clearly and professionally both in writing and in person
  • You are fluent in German and English and comfortable translating in real time across both languages
  • You take initiative and follow through if you see a problem you solve it
  • Youre comfortable in a fast-paced construction project environment where priorities shift and timelines matter
  • You understand the importance of confidentiality and handle sensitive information with discretion

Qualifications

Education
  • Bachelors degree or equivalent combination of education and experience

Experience
  • At least one (1) year of experience in a Defense Health Facility project office or similar construction/program management environment
  • Demonstrated ability to organize and manage a design and construction project office and coordinate events in a logical structured manner

Language Proficiency
  • Proficient in reading writing and speaking both German and English

Skills
  • Proficient in Microsoft Office Suite: Word Excel Outlook and PowerPoint
  • Strong interpersonal analytical and problem-solving skills
  • Excellent attention to detail and a high level of accuracy
  • Effective time management and organizational skills; able to manage multiple priorities simultaneously
  • Ability to communicate plans and instructions clearly both orally and in writing

Work Authorization
  • Must possess SOFA status with access to U.S. military installations; OR
  • Legal authorization to work in Germany and ability to successfully pass a background investigation

Preferred
  • Prior experience supporting U.S. military program or project offices in Europe
  • Familiarity with ThinkProject or similar project information management systems
  • Knowledge of DoD health facility construction outfitting or transition processes
