Role Overview

The Volunteer Operations & Process Manager is the structural backbone of For Everyones multi-disciplinary Gift Box workshop series at the No52 Pavillon at Boxhagener Platz. Sitting within the Events & Community team this role is responsible for the end-to-end structural flow material readiness and pipeline efficiency of the workshop making sure every participant moves smoothly through each creative phase from Concept Draft to Tote Bag Painting to Craft/Gift Production to Final Packaging.

The goal is a workshop that runs without bottlenecks resource waste or downtime while maintaining a capacity threshold of 1214 participants per cycle. You will take full ownership of the operational side of the experience the timeline the materials the layout and the hand-offs between stations so that hosts and participants can focus on the creative work itself. You wont be alone our Event and Workshop Management Lead and weekly team exchange provide ongoing support but we are looking for someone proactive structured and detail-oriented who makes things run without waiting to be told.

Key Responsibilities

1. Process Architecture & Pipeline Management

1. Workflow Optimization: design and enforce the exact sequential timeline of the workshop ensuring drying times for painting phases do not delay subsequent craft phases (pottery crochet jewelry making)
2. Hand-off Protocols: establish standard operating procedures (SOPs) for transferring assets between stations e.g. how the paper draft is delivered dried and utilized at the tote bag station

2. Inventory & Supply Chain Logistics

1. Multi-Material Syncing: oversee the procurement preparation and rationing of highly diverse material inputs (textile paints yarn clay jewelry hardware packaging)
2. Pre-Kitting Management: formulate and manage Experience Kits so that all necessary tools for the entire end-to-end cycle are pre-sorted and accessible at the exact moment of transition
3. Waste & Yield Tracking: monitor raw material consumption per cycle to optimize the cost-per-participant ratio

3. Capacity & Quality Assurance

1. Space & Layout Management: optimize the physical studio floor plan so that 1214 participants can transition safely and cleanly from wet media (painting) to dry/textured media (pottery knitting)
2. Final Product Quality Control: ensure the structural integrity of the final Gift Box assembly verifying that all three distinct items fit are safely cured/dried and meet premium presentation standards before checkout

Key Performance Indicators (KPIs)

1. Cycle Time Adherence: percentage of workshops completed precisely within the allocated timeframe without cutting craft phases short
2. Material Yield: raw material waste per cycle and cost-per-participant ratio
3. Capacity Utilization: consistent safe operation at the 1214 participant threshold
4. QC Pass Rate: share of final Gift Boxes meeting presentation standards at checkout without rework

Required Skills

1. Experience in operations logistics production or workshop coordination or a strong passion for structure planning and making complex processes run smoothly
2. Proactive and self-starting excited to take ownership of the operational pipeline and run it independently
3. Reliable and consistent: available on at least one fixed evening or day per week
4. Highly organised and detail-oriented comfortable managing timelines inventories and multiple parallel material streams
5. Calm under pressure and able to solve problems on the fly when a phase runs late or materials run short
6. Comfortable supporting inclusive welcoming spaces for diverse audiences
7. Good communication skills in English no German required

Preferred / Nice to Have

1. Knowledge about operations logistics production or workshop coordination.
2. Passion for community-driven social impact projects
