Office Coordinator

The Visitor Management and Office Administration function serves as the central point of contact between customers employees management and service providers. You will ensure the smooth day-to-day operation of the office in a dynamic international context with more than 20 nationalities on site and customers visiting from all over Europe and beyond. What youll do:

• Processing and handling incoming and outgoing mail emails and phone calls
• Serving as the primary point of contact for customers guests service providers and global colleagues visiting and oversees access control
• Managing and procuring office supplies and catering maintaining contact details and managing documents
• Acting as the main point of contact for executives and event agency to plan book execute and coordinate company events
• Planning booking and processing expenses for business trips for executives and general management
• Assisting HR tasks such as onboarding new employees timekeeping covering absences substituting for Executive Assistant during absence

What youll bring:

• Completed vocational training in a commercial field such as Office Management Specialist or any other comparable degree
• Fluent English and German written and spoken are prerequisites for our internationally active company
• Strong initiative a structured approach to work and the ability to set priorities during busy periods
• Strong communication skills attention to detail a friendly demeanor reliability and discretion when handling confidential data
• Proficiency in MS Office and standard office software
