The HR Specialist will provide hands-on support for a German pilot project to centralize HR policy and document management into a single source of truth. This role will help create a clearer more employee-centered policy experience for HR managers and employees.

This project and the related contract are limited until 31 December 2026. A contract extension may be possible.

Your key responsibilities:

Policy Inventory Assessment & Management
  • Create and maintain the Germany policy inventory including sources owners approvers review cycles versions and governance requirements.
  • Assess policy storage locations and identify gaps duplicates conflicts and outdated content.
  • Apply HR Policy Framework standards for structure ownership approvals metadata lifecycle management and review cadence.
  • Ensure Germany policies use approved templates plain language employee-centered design and document standards.
  • Coordinate content reviews with owners HR COEs Compliance and approvers documenting decisions and signoffs.

Project & Stakeholder Coordination
  • Prepare agendas capture actions and track follow-ups across pilot working sessions.
  • Provide project updates covering milestones decisions risks blockers and next actions.
  • Work with Germany HR and Workplace Practices PPR to complete assigned deliverables on time.

Content Migration Support
  • Validate metadata categorization permissions ownership version control review dates and access needs before publication.
  • Quality-check migrated content for accuracy compliance accessibility and user readiness.
  • Track pilot milestones inventory completion reviews migration progress risks dependencies and success measures.
  • Update quality and adoption trackers including duplicate reduction ownership completion feedback themes and access issues.

Change-Management & Employee Experience
  • Develop employee- and manager-friendly content that improves usability and enables faster answers.
  • Create training resources FAQs quick reference guides and communications for Germany HR managers and employees.
  • Balance global consistency with Germany-specific legal operational and cultural requirements.
Your profile:
  • Bachelors degree in Human Resources Business Administration Organizational Development or a related field.
  • German at C2 (ideally native language German) level and English at C1 level both spoken and written.
  • 35 years of experience in HR Operations HR Shared Services HR project coordination or a related HR environment.
  • Experience managing HR documentation policies procedures or knowledge content.
  • Experience supporting projects with multiple stakeholders priorities milestones and deadlines.
  • Strong project coordination organisational and follow-up skills. High attention to detail and strong documentation management capability.
  • Strong written and verbal communication skills with the ability to simplify complex information.
  • Strong stakeholder management and collaboration skills across local and global teams.
  • Analytical mindset with strong problem-solving capability and continuous improvement orientation.
  • Proficiency in Microsoft Office and collaboration tools; experience with HR systems such as SharePoint ServiceNow Workday or similar platforms is preferred.

Germany Pay Ranges:

  • Freiburg/Stetten 39Std: 3.774 - 6.223 EUR Monthly
  • Schönkirchen/Kiel 35Std: 3.670 - 6.050 EUR Monthly
  • Schönkirchen/Kiel 40Std: 4.194 - 6.914 EUR Monthly
