Role Description: External Fleet Manager for the KSS Project

The external resource is sought to fulfill the critical function of Fleet Manager taking full responsibility for the vehicle assets utilized within the scope of the KSS project. This role requires a proactive and experienced individual capable of managing complex logistics diverse resources and effective stakeholder communication to ensure the fleet’s continuous availability and operational readiness.

Core Responsibilities and Scope of Work:

1. Vehicle Fleet Coordination and Management:

Serve as the central point of contact for the entire KSS project vehicle fleet encompassing both specialized custom-built project vehicles and general internal test vehicles provided for development and validation.

Maintain an accurate real-time inventory and status report of all vehicle assets.

Oversee the allocation of vehicles to various engineering testing and validation teams based on project priorities and scheduling requirements.

2. Resource Management for Vehicle Operations:

Manage and direct all technical and logistical resources—both internal and external—assigned to tasks directly related to the vehicle assets.

Supervise and coordinate essential vehicle lifecycle activities including:

       Vehicle Bring-up/Commissioning: Ensuring new or updated vehicles are correctly integrated with project hardware/software and made operational.

       Routine and Preventive Maintenance: Scheduling and overseeing all required service intervals inspections and preventative measures to minimize downtime.

       Rework and Repair: Managing the immediate coordination of any necessary repairs modifications or specialized rework required due to testing incidents or component updates.

3. System Integration Team Support (Vehicle Focus):

Collaborate closely with the System Integration Team to ensure vehicle platforms are fully prepared aligned and configured to support integration cycles.

Verify that vehicle-specific hardware wiring and sensor setups match the required build configurations for system-level testing.

Assist in flashing configuring and verifying software/firmware baselines on the vehicles before handing them over for active integration testing.

4. Debugging Coordination in Project House (Vehicle Focus):

Act as the central coordinator for vehicle-level debugging sessions and troubleshooting workshops conducted within the project house.

Facilitate collaboration between cross-functional teams (e.g. Software Hardware Systems and Test Engineers) to systematically diagnose complex vehicle-level issues.

Track vehicle error logs maintain a centralized vehicle issue/bug tracker and ensure structured triage and rapid resolution of vehicle-centric defects to minimize downtime.

5. Proactive Stakeholder Communication and Reporting:

Establish and maintain clear proactive communication channels with all relevant internal departments (e.g. Engineering Testing Project Management) and external partners (e.g. suppliers maintenance contractors).

Provide regular detailed updates on key fleet metrics including:

       Vehicle Tracking: Current location mileage/operating hours and operational status.

       Current Usage: Detailed logs of vehicle deployment and utilization across different project activities.

       Future Planning: Forecast of vehicle availability anticipated maintenance windows and requirements for future asset acquisition or disposal.

Facilitate consensus and clarity on Priority Setting for Vehicle Allocation ensuring alignment with the overall KSS project milestones and deadlines.

6. Issue Resolution and Escalation Management:

Serve as the primary escalation point for all operational issues technical malfunctions or logistical challenges related to the vehicle fleet.

Efficiently manage and resolve escalations to minimize disruption to project operations taking decisive action to restore vehicle functionality or reallocate resources as required.

Implement a structured process for incident reporting root cause analysis and corrective action planning for recurring or critical fleet-related issues.
