Administrative Officer
Involved in the Asian power market, our client aims to contribute to the ongoing energy demand of a fast-changing and dynamic market, from low carbon electricity production to smart energy services.
Headquartered in Singapore, the International Division Asia of the company is responsible for delivering the Groupâs strategy in Asia.
As the Administrative Officer (AO) of our Singapore office (~10 employees), you will work with a dynamic cross-functional team of business developers and experts under the supervision of the companys General Manager. You will have a variety of opportunities to gain exposure to an international network of energy professionals delivering impactful and innovative energy transition solutions for high-profile organizations. You will play a crucial role in the team to strengthen the organization, ensure optimal working environment and contribute to team spirit and collective achievements.
MAIN RESPONSIBILITIES
⢠Administrative tasks: office and secretarial work, invoicing, expense reports, suppliersâ payment process, letter drafting, meetings arrangements, reception of customers and suppliers, etc.
⢠Interface with local suppliers (office phone, internet, accountant, lawyer, bank, IT and cell phone provider, travel agency, etc), landlord / property manager, Singaporean authorities.
⢠IT: interface with IT service provider and group IT department for office support
⢠Travel organization: management of hotel bookings (local and overseas), flight tickets, visas, transportation.
⢠Finance: Accounts receivables and payables in connection with financial controller and service company, liaise with the banks.
⢠Safety: Companyâs fire warden & first aider, ensure safety in working environment and interact with MOH & MOM for safety measures (Covid pandemics)
⢠HR tasks: on and off boarding, leave records, relocation, recruitment, Employment/Dependent pass, etc.
⢠Management of Singaporean authoritiesâ portals (IRAS, Corppass, etc) for company.
⢠Logistic organization of events (customers events, VIP visits to Singapore, etc).
⢠Support of business, finance and legal teams in their day-to-day work.
⢠In charge of companyâs communication with APAC region offices.
⢠Any other ad-hoc duties assigned by the Managers.
⢠A degree in Business management or equivalent. ⢠More than 3 years of experience in the same function. ⢠Must be IT savvy and possess good working knowledge of office IT functions. ⢠Good communication skills (oral and written) and team spirit. ⢠Fluency in English.
