Administration Assistant
Job Summary
Purpose
Assist the Administration Supervisor with routine departmental operations including visitor reception call handling and inquiry support; support the management of travel and commercial medical insurance reimbursements; and provide administrative support such as site hygiene management and office supply distribution to ensure orderly and efficient administrative operations.
Responsibility scope
Reception Duties:
- Answer and transfer calls as needed or take messages ensuring timely and accurate communication; promptly report any adverse event or complaint calls to the relevant departments at headquarters.
- Receive register and guide visitors and promptly notify the employee being visited.
Routine Administrative Duties:
- Assist the Administration Supervisor with daily administrative tasks including document printing sorting and filing.
- Support new employee onboarding activities including parking permit application and plant orientation.
- Collect and mail reimbursement documents for plant business travel and commercial medical insurance expenses.
- Handle the stamping and mailing of documents related to business bidding activities.
- Participate in organizing plant activities and provide preparatory and coordination support.
- Be responsible for canteen meal ordering and related communication and coordination.
- Be responsible for site hygiene management.
- Manage procure and distribute office supplies and labor protection用品.
- Distribute express deliveries parcels and other items to department staff in a timely manner each day.
- Complete other temporary administrative support tasks as assigned.
Job requirements
Education/Experience:
Associate degree or above with at least 2 year of relevant work experience; basic English proficiency; proficient in computer operation and Microsoft Office applications.
Skills:
- Strong communication coordination and teamwork skills.
- Basic training and support capabilities.
- Basic spoken English communication skills.
