We are looking for the best talent for Sr. Event Management Coordinator São Paulo Brazil
Responsible to coordinates and executes Medical Education and Professional Education events across Brazil ensuring the successful planning logistics and delivery of educational programs for healthcare professionals. Partners closely with cross-functional teams healthcare professionals vendors and external stakeholders to deliver high-quality educational experiences that support business objectives while maintaining compliance with organizational policies and regulatory requirements. This role requires strong stakeholder management skills and fluency in Portuguese Spanish and English to effectively collaborate across multicultural and cross-functional environments.
Duties & Responsibilities
- Coordinate end-to-end planning and execution of Medical Education and Professional Education events across Brazil including in-person virtual and hybrid programs.
- Serve as the primary point of contact for event-related stakeholders including healthcare professionals faculty members vendors agencies and internal business partners.
- Collaborate closely with Professional Education Marketing Medical Affairs Sales Finance Procurement Compliance and other cross-functional teams to ensure successful event execution.
- Manage event logistics including venue selection attendee registration travel coordination speaker management meeting materials and event communications.
- Track event budgets purchase orders invoices and vendor payments ensuring financial accuracy and compliance with company policies.
- Maintain event calendars project plans and execution timelines to ensure activities are delivered according to schedule.
- Monitor event performance metrics and prepare reports on attendance participant feedback budget utilization and operational effectiveness.
- Identify opportunities to improve event management processes participant experience and operational efficiency through best practices and innovative solutions.
- Ensure all activities comply with applicable company policies industry regulations and healthcare compliance requirements.
- Support the implementation of local and regional Medical Education strategies through the effective coordination of educational events and training activities.
- Demonstrate Johnson & Johnsons Credo and Leadership Imperatives through collaboration accountability and customer-focused execution.
Required Qualifications
- Fluent Portuguese (required).
- Fluent Spanish (required).
- Advanced English (required).
- Experience coordinating medical education healthcare scientific commercial or corporate events.
- Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
- Experience working with cross-functional teams and external vendors.
- Knowledge of event planning budget tracking and administrative processes.
- Excellent communication and stakeholder management skills in multicultural environments.
