The Opportunity: This is an intense high-leverage strategic operations role supporting US operations exclusively. The Business Operations Coordinator acts as a direct operational extension of the CEO executing the analytical financial and logistical work currently on his plate so he can focus on high-leverage strategic choices. This is not a traditional scheduling or administrative position. You will join a fast-paced environment where your primary objective is to keep recruiting pipelines moving billing disputes resolved vendors accountable compliance deadlines met and data cleanly analyzed before it reaches executive attention.

Are You:

  • Quantitatively Fluent: You possess exceptional mathematical and numerical ability making you highly comfortable working inside billing systems reviewing P&L reports and calculating usage overages with a very low error rate.

  • Technically Curious and Adaptive: You learn new SaaS tools independently manage multiple software platforms simultaneously without requiring day-to-day oversight and actively seek out AI workflows or automations to structure data and optimize your time.

Key Responsibilities:

  • Financial & Billing Operations: Monitor the Stripe dashboard to catch failed payments before subscriptions cancel. Reconcile check payments across 50 customer locations and maintain clear tracking spreadsheets. Pay routine vendor invoices monitor SaaS renewals and track platform notices before they turn into problems.

  • Customer Billing Triage: Serve as the first point of contact for customers disputing charges or flagging overdue invoices. Pull customer account data calculate usage against contracted plans and explain charges clearly and accurately in writing. Resolve billing errors or pricing misunderstandings independently and prepare clear summaries and recommendations when escalation is necessary. Maintain a log of disputes to surface recurring patterns to executive leadership.

  • Data Analysis & Reporting: Build and maintain Excel models and dashboards providing a clear view of billing health usage trends and payment statuses. Translate raw data exports from Stripe HubSpot and internal systems into clean financial and operational summaries. Analyze monthly financials from our accountants to flag anomalies unexpected variances or cost trends.

  • Recruiting Coordination: Manage the candidate pipeline after the recruiter brief is created including routing submissions giving feedback and tracking statuses. Review candidates in Ashby and filter profiles to optimize the CEOs interview schedule. Administer product and pricing tests create test accounts collect answers and run scoring.

  • Compliance & Accounting Relay: Serve as the operational relay between the CEO and external corporate accountants. Own the tax deadline calendar to ensure federal and state filings remain ahead of schedule. Handle state tax registration when a new employee is hired in a new jurisdiction.

  • New Hire Provisioning: Run the full onboarding checklist once a hire is approved and contracts are signed via Deel. Set up accounts across the tool stack including email Slack Notion HubSpot and other operational applications. Coordinate laptop and equipment delivery with the internal team and send the starter guide before day one.

  • Vendor & Event Management: Own routine vendor relationships with platforms like Twilio GoDaddy and Ashby. Manage Rippling for US payroll notifications expense reimbursements and commission routing. Manage contract creation onboarding and offboarding via Deel. Coordinate comprehensive conference and trade show logistics including hotel blocks attendee schedules and booth design deadlines.

Requirements:

  • Experience: 2 to 3 years of experience in business operations finance operations accounts receivable bookkeeping or a chief-of-staff adjacent role ideally within a fast-growing startup or SaaS company.

  • Educational Background: A university degree in mathematics engineering economics business or accounting is highly preferred.

  • Hard Skills & Tool Fluency: Advanced fluency in Excel or Google Sheets with a proven ability to build clean financial models from scratch and use complex formulas. Experience working inside at least three operational platforms such as Stripe HubSpot Notion Slack Google Workspace Rippling Deel or Ashby.

  • AI Fluency: Demonstrated experience building real workflows automating tasks or structuring information using modern AI tools to optimize operational speed.

  • Language & Communication: Full written and spoken English fluency. Exceptional communication skills capable of producing written output that requires zero editing.

  • Operational Availability: Complete availability during US EST working hours. A fast systematic communication style with high responsiveness across Slack email and voice memos.
