The Intern will support the daily administrative and operational activities of the office contributing to an efficient and organized work environment. This role willprovide assistancewith office coordination events logistics vendor management and administrative tasks while gaining exposure to the operations of a fast-paced multinational organization. The position offers an excellent opportunity to develop organizational communication and project coordination skills.
Flex: This role will typically require onsite work 2-3 days each week or more depending on business many locations the business will set certain days each week that Flex employees are required to be onsite.
- Assistinmaintainingoffice organization supplies inventory andcommon areas.
- Assistwith onboardinglogisticsfor new employees including workspace preparation welcome materials and coordination with HR and IT.
- Support the coordination of office services and vendors such as catering cleaning facilities and courier services.
- Helpmaintainoffice records documents and administrative files.
- Support the planning and execution of internal meetings team events and office activities.
- Assistwith meetinglogistics including room reservations catering arrangements and attendee communications.
- Help coordinate travel arrangements hotel bookings and event materials for internal meetings and external events whenrequired.
- Assistin collecting and organizing meeting presentations and documentation
- Provide general administrative support to the Office Administrator and other business leaders as needed.
- Assistwith calendar management meeting scheduling and coordination of conference calls.
- Support the processing and tracking of invoices purchase orders and expense documentation.
- Prepare reports presentations and spreadsheets asrequired.
- Participate in special projects and other administrative activities assigned by the Office Administrator.
- Currently pursuing or recentlycompletedaBachelors degree in Business Administration Management Human Resources Communications or a related field.
- Ability to manage multiple tasks and prioritize effectively.
- Strong interpersonal and communication skills.
- Basic to intermediate knowledge of Microsoft Office applications(Outlook Excel Word PowerPoint).
- Positive attitude willingness to learn and proactive approach to problem-solving.
- Ability to work independently as well as collaboratively within a team environment.
- Strong customer service mindset and professionalattitude.
- Englishproficiency(written and verbal).
