A healthcare organization is seeking to hire a Senior Administrative Associate. This is a frontdesk position that will entail assisting leadership in managing daily administrative operations monitoring and reconciling budget reports and expenses assisting with onboarding scheduling appointments preparing documents monitoring and maintaining department supply inventory etc. The ideal candidate has 2 years of previous administrative experience and possesses Arabic speaking skills (highly preferred but not required).

RESPONSIBILITIES:
  • Assist Treasury managers by aiding in planning managing directing and controlling ongoing operations/processes pertaining to mission activities supporting OIA senior leadership.
  • Planning and coordinating meetings for management
  • Performing general office management tasks such as updating records facilitating day to day operations making travel arrangements scheduling domestic and international travel
  • Performing administrative tasks including drafting memos maintaining records and requesting supplies for management
  • Drafting communications including reports and briefings for management and distributing them as needed
  • Deciding action(s) necessary for individual functional responsibility and determine priority.
  • Collecting analyzing and integrating complex information for management
  • Reviewing and analyzing reports memoranda and other substantive documents submitted to management


Requirements

  • Minimum 25 years experience
  • Experience with supporting calendars for multiple supervisors
  • Strong communication skills to engage senior and executive level leadership
  • Experience in providing administrative support to an individual or team in an organization
  • Arabic speaking skills


QUALIFICATIONS: A minimum of 5 years of accounts payable experience required Advanced Microsoft Excel skills with experience using formulas/pivot tables, etc. Experience with NetSuite is a plus, requires experience with accounting software Strong ability in managing priorities Strong customer service skills Knowledge of three way matching of purchase orders, packing slips and invoices Ability to perform in a high-growth, fast-paced, collaborative work environment Ideal candidates will have excellent written and verbal communication skills, strong organization skills, thrive in a fast-paced environment and keen attention to details
