We are looking for a and nbsp;Project Coordinator and nbsp;to manage and grow our customer accounts and relationships. The and nbsp;Project Coordinator and nbsp;will be responsible for the day to day running of the all clientfacing delivery.ResponsibilitiesNew Business:

Constant contact with partners regarding the projects that have yet to start in that process the start dates are defined and the availability and capacity of the internal team is checked.

Redistribution of new projects in cooperation with the team leader and regular update of the tools through which the capacity of the team is monitored.

Making the initial contact with the customers sending all the necessary information working with the customer to accept the conditions of MR and finally organizing a kickoff meeting after which the customer is handed over to the delivery team.

Creation of all necessary content before starting a new project (Asana HubSpot Harvest/Forecast update of internal and external documentation).Delivery:

Preparing and conducting weekly internal planning meetings to review the progress of active projects the status of projects yet to start and discuss the capacity and availability of the team in the coming period.

Conducting daily team coordination meetings.

Attending regular meetings with partners to report on the status of active projects review the state of the sales pipeline and discuss all currently important topics the information is then shared with team leaders and the team.

Attending kickoff meetings and closing meetings in order to first get to know the client and then to hear the final feedback.

Organizing work sessions with clients (defining a time with all involved parties defining an agenda and defining a list of invitees).

Checking materials that are presented to customers (it is checked whether the general information related to the customer is correct for example logo company name etc.)

Monitoring the progress of active projects and regular updates in the tools for monitoring the status of all projects (Asana internal and external documents and tools).

Monitoring the time frames of all active projects regularly informing the team about the next steps and escalation in case of breaking the defined deadlines.

Participating in the escalation process and early detection of client concerns.

Monitoring the payment process and participating in the escalation process in case of late payment.Professional Development and amp; Process Improvement:

Basic technical knowledge of our partners platforms (Braze) which means regular familiarization with changes in order to successfully monitor the projects.

Creation of a new and regular update of the existing internal documentation in case of process changes or creation of a new type of package (this includes Asana templates).

Creation and regular updating of work instructions in Confluence.Experience

5 years experience in project coordination and management.

Agency and software (CRM tools) experience preferred.

Demonstrated experience in managing customer accounts and relationships.

Ability to manage multiple projects simultaneously.

Experience in addressing client concerns and participating in the escalation process.

Experience in regular reporting on project status to both internal teams and external partners.

Experience using project management tools such as Asana HubSpot and Harvest/Forecast.

Experience using Google docs and Excel.

Familiarity with Confluence for creating and updating work instructions.
