ADMISSIONS OFFICER / ENQUIRIES


YOUR MISSION:

YOUR FUNCTIONS:

1. Customer Journey
Follow the guidelines and recommendations defined in the admissions customer journey protocols under the company standards to ensure that customers receive the optimal service experience from Lead to Admitted.
Guarantee that the open pipeline followup is being accomplished in all stages by keeping regular contact with the prospective families until the end of the process or close
opportunities that after 3 contacts do not reply or do not want to proceed.

2. Leads/Enquiries
Log parent and student data into the schools CRM systems.
Capture and qualify parent Leads and promptly followup on all open cases. Reply to all Leads and despatch tailored lead/enquiry fulfilment pack to prospective families.
Schedule and organise presential and/or virtual tours/school visits.
Produce lead/enquiry status and new lead/enquiry pipeline performance reports when requested.
Keep Dynamics system up to date with status changes at each stage of enquiry management.

3. Database management monitoring and tracking

To be responsible for the complete data quality gathering at all stages and providing regular intelligence analyses reports and advice on strategy and best practice to marketing team.
Monitor (on a regular basis) the progress of the schools admissions pipeline identifying any issues/feedback to school and monitor progress.

4. Open Days
Develop and own the OD leading to the generation of an increase in enquiries and recruitment.
Own and lead the preparation and running of the OD (communications / logistics / coordination and brief to all relevant staff involved).
Analyses of the post OD that feeds the open pipeline and regular followup of open cases for the contribution to the achievement of the pupils target.

5. Commercial networking
Identify key potential brand advocates (kindergartens other businesses and organisations) in our catchment area to establish a networking relationship to convert them into our schools advocates.
Own lead run and monitor the networking actions tailored by type of advocate (commission & special discounts agreements workshops events) to boost the achievement of new registrations coming from these networking groups.


YOUR SKILLS:

Strong focus on sales and commercial relationships.
Excellent organisational abilities and time management skills ability to meet deadlines multitask and prioritise workload.
Analytical skills ability to use multiple datasets to identify trends provide intelligence and improve performance.
Experience in using customer systems databases CRM platforms at super user
level.
Team player.
Excellent people management skills.
High commitment with the companys objectives and values


YOUR PROFILE

Degree level qualification
Previous experience in a sales / data management / customer service role with the ability to deliver process excellence across the customer journey.
Results oriented profile with at least 2 years of meaningful experience. Ability to demonstrate expertise in using data with a strong emphasis on customer journey service and conversion processes. Commercially astute and commercial attitude.


RELATIONSHIPS

INTERNAL: Internal Customer Service Stakeholders Engagement and Advocacy EXTERNAL: Employers; Prospective parents current parents pupils; Networking companies and Associations; Suppliers related to admissions development strategy.

HIERARCHICAL DEPENDENCY
Direct report: Admissions Manager and Senior Business Manager
Indirect report: Central office


WE OFFER:

  • Position: Admissions Officer / Enquiries
  • Permanent Contract
  • Working hours: 9:00am until 6:00pm from Monday to Friday
  • Available to work 2 weeks in July and 2 weeks in August
  • 6 Saturdays per year required
  • Full time
  • Continuous working days in summer (6 hours per day)
  • Fluent in Spanish and English
  • Workplace: Barcelona
  • Start date: as soon as possible
