New Units Team Assistant – Job Description
Duties & Responsibilities:
1.
Close and trusting cooperation with BU heads as well as managed by a lead for all
administrative tasks
2.
Effectively provide professional administration support to the team as necessary (printing
getting signatures and scanning documents)
3.
Establish maintain and develop as appropriate efficient office and administration systems and
processes to always ensure the smooth and effective running of the office
4.
Responsible for supporting the team in booking travel hotels expense claims and couriers
5. Responsible for supporting the projects delegates in booking travel hotels visa and gate
passes
6.
Collate and produce standard documents (submittal letters for all projects related invoices collection and
deliveries notes)
7.
Manage basic correspondence with suppliers
8.
Responsible for keeping track and managing all stationary requirements business cards and ensure the
department is adequately catered.
9.
Manage and organize the On- and off-boarding of staff including administrative processing
10. (PKI Laptop IT peripherals Folder Access authorizations Bank Account Insurance and Amex application
Medical and Finger printing coordination Issuance of PPE for FSR’s)
11. Responsible for ordering IT equipment for the team and supporting IT administration (drive
management access rights)
12. Responsible for keeping track and managing PPE inventory and ordering and replenishing the stocks.
13. Presentation and communication support and day-to-day operational activities
14. Be a reference point on purchasing administrative training and projects related materials and
direct materials through SAP Ariba system and manually EPR creation and dealing with P2P as required.
15. Be a reference point on registering vendors and suppliers using MDG
16. Follow up on POs signature and submission on SAP Ariba system and EPR keep track of all requests
raised by all the team.
17. Proactively identify where additional support can be given to the team
18. Create and maintain any filing and database systems carrying out regular reviews
19. Coordinate the driver schedule on priorities and urgencies and collect the time sheet for
signature at the end of the month.
20. Raise tickets for all issues related to GS STG and CP teams using the Enow People Center SAP RTO
and follow up with related parties for quick resolution.
21. Keep track of the project’s assets (sim cards mobiles monitors laptops working from home
assets etc.
22. Responsible for sourcing the venues and brandings for small meetings team event and technical seminars.
23. Support the RICM in for all TFA’s support to mobilize and demobilize from customers’ site
24. Raise Purchase orders for internal companies and intra companies
